About the Role
We are seeking a proactive and highly organized Portfolio Coordinator to join our Building Services team. Reporting to the Lead Engineers and Property Managers the Portfolio Coordinator plays a crucial role in ensuring timely and efficient coordination of servicerelated work orders vendor inspections engineer scheduling and followup activities across all Thomas Park managed assets. This is a dynamic position that offers exposure to multiple facets of property operations and vendor management within a growing commercial real estate organization.

Hours: MondayFriday 8:00 AM5:00 PM
Job Responsibilities
Coordinate assign and track servicerelated work orders to engineers or approved vendors
Schedule and follow up on required property inspections ensuring completion before due dates
Assist with obtaining servicerelated bids and proposals from approved vendors collaborating with Property Managers as needed
Maintain oversight of open work orders within assigned portfolios ensuring timely updates and completion per company processes
Provide administrative support for vendor coordination engineer scheduling report collection and property communications
Draft and send building announcements related to scheduled work or inspections
Support tenant billable work orders by assisting engineers in identifying billable items and engaging Property Managers for approval
Participate in regular team discussions with Property Managers Assistant Property Managers Engineers and Vendors to review open items and next steps.
Experience
2 years of experience in property management vendor coordination or administrative support preferably within a commercial real estate setting.
Excellent organizational and multitasking skills with the ability to manage multiple priorities efficiently
Strong written and verbal communication abilities.
Familiarity with property management software systems (preferred).
Comfort working collaboratively across departments and with external vendors.
