Capital University invites applications for an Administrative Assistant position to provide administrative support to the faculty and staff within Humanities departments including History Religion Political Science Seminary and Director of Signature Learning. This collaborative position will provide administrative support for program leadership and faculty and includes duties such as student information management financial and business operations management procurement and vendor coordination data and record management financial and academic reporting and requirements training and oversight student workers communication with faculty staff and administration.
Responsibilities:
- Provides administrative assistance to the academic programs faculty and staff within the Humanities departments Seminary and the Director of Signature Learning.
- Manages administration and leadership calendars as needed.
- Records and maintains meeting minutes and agendas for faculty and administrative meetings.
- Processes purchase orders credit card reports payment requisitions expense reports billing and payroll requests.
- Assists with travel including membership hotel and flights for faculty and leadership.
- Assists with faculty and administrative contract requests.
- Maintains departmental information such as advising lists class schedules syllabus archives meeting minutes contact lists contracts budgets and websites.
- Serves as a point of contact for adjunct faculty.
- Maintains sensitive and confidential information including student faculty and staff personnel information financial academic and business operations documentation.
- Research information and gather data through the student information system and other university databases and assist students in accessing information.
- Assist faculty with committee work payment requisitions purchasing and travel arrangements.
- Assists with activities for events related to academic programs guest lectures and recruitment.
- Assists the provosts office and other academic units with processing of data collected of assessment of student learning and accreditation.
- Helps distribute collect process and archive documents used in faculty annual reports course evaluation and travel requests.
- Interfaces with other student services and campus operation units to coordinate work in other academic units information technology facilities admissions advancement business and finance.
Qualifications:
- A minimum of two years of office experience or training.
- Excellent facility in using Microsoft Office Suite.
- Must have excellent professional verbal and written communication skills.
- Organizational skills superior attention to detail flexibility creativity and strong ability to multitask.
- Ability to handle sensitive information and maintain confidentiality.
- Ability to work closely and professionally with others as part of a team.
- Student Information System (SIS) experience such as Colleague is helpful.
