Responsibilities:
Database & Donor Management
- Serve as the primary manager of donor database ensuring accurate recordkeeping and gift processing. Create and manage database processes
that track
donor activities.
- Provide administrative management of all Montrose Center
donor groups managing staff relationship leads updating membership lists monthly tracking solicitation of renewals preparing reports etc.
- Create and implement annual donor renewal processes including scheduling and preparing pledge invoices and ensuring the collection of all gifts.
- Complete acknowledgement letters for all donors according to team protocols
for timeliness and ensure thank you letter templates are updated annually.
- Serve
as donor prospect research specialist and implement new prospect research process.
- Build and implement donor portfolio system creating new data mechanisms for reporting officer and donor activity.
- Serve as development volunteer lead for special events stewardship events and corporate volunteerism.
- Manage benefits for corporate/foundation sponsorship
and Montrose Society membership.
Event/Campaign Support
- Support annual special events as needed including managing reservations and registration ordering/packing supplies etc.
- Manage donor mailings including pulling lists creating letters/labels and coordinating volunteers for mass mailings.
- Provide
communication events support by creating/scheduling eblasts
based on event timeline and internal deadlines.
- Support online annual fund campaigns creating and sending eblasts as assigned.
Administrative/Operations
- Serve as lead development liaison for Finance and HR.
- Provide primary administrative support for development team including staff training scheduling correspondence and internal coordination along with special projects designated by development leadership.
- For new development team members schedule onboarding and create/provide new hires their first week schedule in advance.
- Collaborate with finance teams on budget management and reporting.
- Create an improved
financial reconciliation process
incorporating the finance team and bestaudit practices.
- During annual audit work with finance team to provide needed reports and requested documentation for auditors.
- Prepare revised plan for monthly quarterly annual development reports as assigned.
- Complete corporate and grant gift acknowledgment and outcome reports as assigned.
- Process inkind donation requests and internal payments or team expenses.
- Represent the Montrose Center at community networking events andbenefit check presentations as assigned.
- Strong understanding of LGBTQ issues and commitment to fostering an inclusive environment that affirms and supports LGBTQ individuals.
Skills and Qualifications:
- Two years of professional experience in development administration or finance preferred but not .
- Bachelors degree in English Journalism Communications Business Public Administration Public Health or other relevant field.
- Strong organizational project and time management skills. Attention to detail is a must.
- Proficiency with Microsoft Office and donor database CRM software Salesforce preferred.
- Demonstrates written and communication skills to engage
with stakeholders and donors effectively.
- Ability to work under short deadlines
- Access to reliable transportation a current Texas Drivers License and auto insurance.
