The Facilities Specialist will be responsible for managing all facilities maintenance works ensuring efficient and timely completion of tasks. This role involves triaging the mailbox redirecting tasks and activities to the appropriate areas within the team and wider business and maintaining accurate records in ServiceNow our ticketing system. Activities for the property projects and function to ensure smooth completion and staff satisfaction.
The Role:
Mailbox Management: Triaging the Property mailbox prioritising and redirecting tasks to the correct team members and departments.
Ticketing System: Updating ServiceNow with new tickets assigning tasks adding accurate comments and ensuring all information is uptodate.
Supplier Coordination: Chasing suppliers within the system to ensure all works are completed in a timely manner.
Team Collaboration: Liaising with the property team including two other Facilities Specialists to ensure cohesive and efficient teamwork.
Task Management: Ensuring all facilities maintenance tasks are completed accurately and on schedule.
Communication: Maintaining clear and effective communication with internal teams and external suppliers.
Stakeholder Management: Liaising with Landlords and Centre Managers when they are involved in complex facilities issues.
Records Management: Develop and maintain accurate records of maintenance activities including work orders inspections repairs and preventative maintenance schedules.
Qualifications:
Degree in Property and/or Facilities
Expertise in Facilities Maintenance
Tenant representation experience
Customer service
Skills:

Attention to detail and proactive approach

Demonstrated understanding of facilities management
