Job Description
As a Legal Administration Assistant you will play a crucial role in supporting legal operations through document management client servicing process improvements and administrative excellence to deliver outstanding results for legal professionals and clients.
Job Overview
Employment type: Fulltime
Shift: Day Shift (Mon Fri 7:00 AM 4:00 PM); Weekends Off
Work setup: Onsite (Makati/Ortigas)
Your Daily Tasks
- Draft and format documents and correspondence.
- Prepare briefs and conduct conflict checks (Affinity and Archi).
- Perform online searches via SALIS Council and company records.
- Complete endofmonth trust statements and credit card reimbursements.
- Prepare Safe Custody documents and Verification of Identity (VOI).
- Undertake dictation for letters documents and file notes.
- Support proactive matter management by understanding client matters.
- Manage upwards to ensure excellent client service delivery.
- Create new client profiles and manage opening and closing of matters.
- Perform efiling archiving and accurate data entry into Affinity and Prime.
- Prepare client and businessrelated reports.
- Identify and propose process improvements.
- Assist with billing writeoffs and cheque requisitions.
- Attend administration and teamspecific meetings.
- Perform ad hoc administrative duties and assist other teams as needed.

- 3 5 years of recent handson experience in the Australian legal industry
- Proven problemsolving ability and a proactive cando attitude.
- Strong commitment to excellent client service and continuous learning.
- Ability to streamline processes and collaborate effectively with teams.
- Ability to work under pressure with high attention to detail and accuracy.
- Intermediate to advanced technical skills in MS Office especially MS Word.
- Professional consultative communication style and excellent organization skills.
- Strong conflict resolution abilities resilience and enthusiastic work ethic.
- Commitment to confidentiality regarding firm and client matters.
- Capacity to thrive in a dynamic changing environment.
- Ability to build supportive and respectful professional relationships.
- Initiative in fair transparent and reasonable decisionmaking.
- Must be willing to work onsite in Makati or Ortigas.
