Position purpose:

Responsible for the management implementation and operationalization of all mobility programs (outgoing and incoming). The incumbent also ensures alignment in the communication and procedural strategies of all programs.
Responsible for ongoing communication with international partners and ensuring the smooth running of mobility programs.

In this role your responsibilities will include:

  • Responsible for the operational and communication planning of Exchange Programs for outgoing and incoming students both at the administrative and academic levels in order to offer support services at the level of student expectations.

  • Works closely with the Intermediate Specialist Academic Advising and Manager Undergraduate and Graduate Administration to promote exchange programs. Organizes coordinates and conducts regular meetings with them to ensure optimal efficiency of operations and student services.

  • Responsible for the entire candidate selection process as well as for the design and updating of mandatory predeparture accompaniment and return workshops to enhance student support and experience.

  • Responsible for communications with partners and Intermediate Specialist Academic Advising with the aim of maximizing the number of students selected and offering optimal service to students and partners. Implements strategies to increase student participation in uOInternational promotional activities.

  • Manages complex files for University of Ottawa students and students from higher education institutions abroad who participate in student mobility programs. This may include complaints difficult reception abroad integration or mental health problems etc. The incumbent ensures that problem cases are handled with tact and professionalism using designated and appropriate experts.

  • Develops and implements communications and marketing strategies to promote exchange programs to students and the university community in order to achieve internationalization objectives. Ensures exchange program visibility at fairs events conferences and delegations in Canada and abroad.

  • Acts as a resource person for the Universitys various exchange programs and as an intermediary between University of Ottawa stakeholders and those of higher education institutions abroad or external partner the creation of new interinstitutional agreements.

  • Maximizes outreach and promotion of scholarships available to exchange students. Also oversees the administration of mobility grants.

  • Regularly updates his/her knowledge of travel advisories issued by Global Affairs Canada and works closely with the International Travel Advisor. Informs the Senior Mobility Specialist of advisories affecting University of Ottawa students. Ensures communication with exchange students and partner institutions during emergency situations abroad or in Ottawa and with risk management officials.

What you will bring:

  • University degree at Bachelors level. Training in the following fields would be considered an asset: communications marketing and international education.

  • Minimum 3 years experience in program and project management or in communications and marketing.

  • Indepth knowledge of all aspects of the university environment including curricula academic regulations registration procedures and all student services

  • Knowledge of international education systems at undergraduate and graduate levels

  • Experience in communication (including public presentations) interpersonal relations and problem solving

  • Experience in dealing with a wide range of clients both internal and external to the University

  • Teamwork communication and interpersonal skills

  • Knowledge of various computer programs

  • Ability to create promotional material on various platforms

  • Advanced oral and written expression skills in French and English

  • Experience in analyzing school files with attention to detail.

  • Strong intercultural communication skills and diplomacy

  • Ability to work under pressure independently and on several files simultaneously

  • Supervisory experience or knowledge

  • Participation in a student mobility program an asset

  • Knowledge of a third language an asset

  • Available to work evenings or weekends to participate in activities or events.

If this is a frontline position with responsibilities to interact with students selected candidates must be rated at the Low Advanced proficiency level or higher for both oral comprehension and reading comprehension in their second official language. The rating is determined by a proficiency test designed by the Official Languages and Bilingualism Institute.


Prior to May 1 2022 the University required all students faculty staff and visitors (including contractors) to be fully vaccinated against Covid19 as defined in Policy 129 Covid19 Vaccination. This policy was suspended effective May 1 2022 but may be reinstated at any point in the future depending on public health guidelines and the recommendations of experts.
