SUMMARY: This position is responsible for the daily operations and management of office duties based at the Gaming Commission office in Onawa IA. The position is to provide the public and other individuals with designated services pertaining to Gaming for Blackbird Bend Casino and Lucky 77 Casino. The position aids the Gaming Commission by coordinating office services such as preparation of Gaming Licenses purchase orders Budget preparation and records of maintenance. Complies and maintains records of Gaming licenses issued performs a variety of clerical duties utilizing knowledge of systems and procedures. Confidentiality and Knowledge of the Privacy Act is a must.
ESSENTIAL DUTIES and/or RESPONSIBILITIES include the following:
- Greeting visitors and clients in a friendly and professional manner
- Write type or enter information into the Computer using keyboard to prepare documents specifically software such as Microsoft Word Microsoft Excel
- Drafts correspondence reports schedules minutes purchase orders budgets agendas and proposals for the Gaming Commission approval.
- Prepares purchase/travel orders and makes travel arrangements for the Commissioners and staff.
- Develop and maintains Record Management for correspondence reports records purchase orders gaming licensing and other pertinent material as necessary. Knowledge of the Privacy Act is a must.
- Screen incoming telephone calls and gives information to callers or router to the appropriate person.
- Prepares fingerprint cards for submission to the National Indian Gaming Commission and maintains records accordingly.
- Prepares Provisional Gaming License and maintains records.
- Prepares annual licenses for key employees.
- Maintain strict confidentiality.
- Transcribes minutes of the Gaming Commission meeting utilizing computer software.
- Receives and reviews documents for licensing certification and other necessary forms to and for implementation of the Tribal Gaming Code Rules and Regulations.
- Prepare monthly/quarterly office budgets assist with maintenance of Payroll and other financial bookkeeping.
- Other job related duties as may be assigned.
QUALIFICATION REQUIREMENTS:

EDUCATION and/or EXPERIENCE:
- High school graduate or GED and/or 2 years of office management experience in typing filing computer and the use of standard office machines and clerical training.
- Knowledge and experience in office procedures practices systems and equipment.
KNOWLEDGE SKILLS and/or ABILITIES
- Ability to deal with the public courteously and tactfully and to convey accurate explanations of policies and procedures.
- Computer literate/user with knowledge of Windows PRO 10 WordPerfect for Windows Microsoft Word & Excel Database Q&A Modems and the Internet.
- Oral & Written Communications a must when dealing with the public vendors and other tribal entities and members.
- Ability to type 50 wpm accurately and neatly from copy rough draft and transcription.
- On own initiative develop and maintain information within prescribed systems and procedures.
- Must be knowledgeable of the Federal Privacy Act.
