A Glimpse of the Job

The Business Coordinator II provides support and coordination of a variety of business activities requiring independent judgment including reviewing business documents and assisting in developing monitoring and reporting accounts and budget data as directed by supervisor.

Essential Duties/Tasks

  • Property Liaison Oversees department annual inventory and surplus procedures. Acts as the department liaison with system member Property offices. Ensures all equipment and other department property is properly tagged and updated in the internal systems.

  • Departmental Accounting & Management Responsible for maintaining detailed knowledge of disbursement rules and procedures for Texas A&M University AgriLife Research and Texas A&M Foundation funds. Maintains sufficient knowledge pertaining to TAMU Purchasing Guidelines and the purchasing system. Communicates relevant compliance and procedures to customers. Responds to inquiries from faculty and staff regarding usage of E&G designated and sponsored accounts. Reviews vouchers and requisitions for compliance with purchasing procedures and account restrictions. Participates in the hiring and training of staff and student workers on rules and procedures. Assists with the administration of contracts and grants. Performs establishment of budget transfers and correcting entries on accounts. Assists with departmental administration as needed.

  • Accounts Payable & Receivable Enters reviews approves and audits vouchers requisitions and other departmental expenses/purchases. Performs monthly reconciliation of procurement card purchases within a given time frame through the Emburse system. Maintains budgets within departmental accounts and supervises outgoing/incoming payments. Reviews and audits reconciliations of multiple unit accounts. Communicates cash handling procedures coordinates/approves cash handling activities implements/coordinates purchasing activities coordinates routine fiscal activities proposes solutions to routine financial problems and maintenance of departmental financial business files.

  • Business Team Support & Customer Service Responds to inquiries from vendors Financial Management Operations and internal staff and serves as liaison with Financial Management Operations Department. Proposes and implements solutions to complex financial problems for the department. Assists in planning developing implementing coordinating and monitoring business programs or services. Provides input to policies and interprets policies and procedures. May serve as a liaison with financial payroll Sponsored Research Services and/or human resources. Investigates errors on routine financial transactions and recommends and initiates appropriate corrective action. Prepares complex financial reports manages travel reconciliation and investigates and resolves complex errors.

  • Procurement Card Oversees maintenance and reporting of department procurement card program. Reviews approves and ensures purchases are reallocated to correct account through Concur with the required documentation.

Required Education and Experience

  • Bachelors degree or equivalent combination of education and experience.

  • Three years of related experience in general office accounting or personnel operations.

Preferred Qualifications

  • Experience with Purchasing AggieBuy and Canopy/FAMIS.

  • Experience in managing business operations or supervisory experience.

Knowledge Skills and Abilities

  • Ability to multitask and work cooperatively with others. Working knowledge of spreadsheet and word processing software programs

  • Interpersonal and communication skills

  • Good planning and organizational skills

  • Well organized and attention to detail and accuracy

  • Exhibits good time management and problem solving skills

Other Requirements and Factors

  • This position is security sensitive.

  • This position requires compliance with state and federal laws/codes and Texas A&M University System/TAMU policies regulations rules and procedures.

  • All tasks and job responsibilities must be performed safely without injury to self or others in compliance with System and University safety requirements.
