Job Duties
The Policy Planning and Compliance department is partnering with the Finance department to establish standard overpayment procedures. The Finance Compliance Intern will research current contact information for probate offices and will communicate with them to locate estate status information. The incumbent will document their procedures for future use per locality. Responsibilities include submitting/filing necessary paperwork to make a VRS claim as needed and on a case by case basis.
Document project requirements by meeting with stakeholders to identify business needs in establishing standard overpayment procedures; keep leadership advised of procedures status.
Coordinate stakeholder meetings or outreach as needed.
Research current contact information for probate offices via online or phone.
Research public records and court documents to determine the status of member estates.
Identify and pursue necessary steps including submitting/filing necessary paperwork for VRS to make claims for overpaid funds against or provide funds due to member estates.
Document claim and payments to estate recovery steps for each locality to be used as a part of the standard overpayment procedures.
Develop a communications plan to inform staff on project status and retrieval of standard overpayment procedures information.
Effectively work with multiple internal departments and all levels of staff to move the project forward.
Perform filing and general administrative tasks.
Maintain confidentiality of Personally Identifiable Information (PII) and other sensitive data.
Perform other projects or duties as assigned.
Minimum Qualifications
Working towards an undergraduate degree or certificate in finance business political science records and information management or closely related field (from an accredited college or university). Proficiency in MS Office suite and using general computer software. Demonstrated experience in working with SharePoint or similar software. Demonstrated ability to conduct research and document detailed procedures.

Previous experience handling locating and understanding court records preferred

Currently this position has a hybrid work schedule requiring work in the office two days per week and work remotely three days per week. The selected candidate must be able to work in the office any day of the week as required by the manager and per the agreed upon internship schedule.
