Job Description

Job Summary: Johnson Barrow is seeking a dedicated and detailoriented Customer Service & Inventory Coordinator to join our team. This role is key to ensuring the smooth processing of warranty claims and the availability of necessary parts for HVAC service work. The ideal candidate will be responsible for filing warranty claims in a timely manner managing inventory of HVAC parts quoting aftermarket items tracking claims to identify manufacturer defects and continuously improving internal processes related to warranty claims and inventory management.

Key Responsibilities:

Warranty Claims Management:

  • File warranty claims with manufacturers promptly and accurately ensuring all necessary documentation is submitted for reimbursement.
  • Follow up with customers regarding their warranty claims providing tracking information and guiding them through the warranty process including Return Goods Authorizations (RGA).
  • Work directly with manufacturers to ensure that appropriate warranty allowances are provided to the team for reimbursement in cases of manufacturer defects or discrepancies.
  • Track and manage warranty claims from start to finish ensuring all claims are resolved in a timely and effective manner.

Inventory Tracking and Management:

  • Oversee the inventory of HVAC parts ensuring the team has the parts needed for daily operations and customer projects.
  • Regularly monitor inventory levels place orders to restock as necessary and track parts usage to avoid shortages or overstock.
  • Collaborate with the service team to identify part requirements for upcoming jobs and projects ensuring the team is equipped with the right materials.

Aftermarket Quoting:

  • Respond to customer requests for aftermarket quotes in a timely manner.
  • Provide accurate and competitive quotes for parts based on customer needs and specifications.
  • Assist customers in choosing the right aftermarket parts and provide recommendations where necessary.

Tracking and Analyzing Claims:

  • Track warranty claims to identify patterns or recurring manufacturer defects.
  • Proactively communicate with manufacturers to address and resolve consistent issues or defects that may be affecting customer satisfaction or team efficiency.
  • Work with the service team to develop strategies for minimizing defects and improving overall product quality.

Process Improvement:

  • Collaborate with the service team to continually develop and improve internal processes for managing warranty claims and inventory control.
  • Identify areas for improvement and propose solutions to streamline operations and enhance efficiency.
  • Regularly review warranty processes and workflows to ensure they align with best practices and are optimized for speed and accuracy.

Qualifications:

  • Experience:
    • Minimum of 12 years of experience in the HVAC field or a related role (preferred not required).
    • Experience with warranty claim processes inventory management and aftermarket quoting is highly desirable.
  • Skills:
    • Strong organizational skills and attention to detail.
    • Excellent communication skills both written and verbal.
    • Ability to work independently and manage multiple tasks simultaneously.
    • Proficiency in using inventory management software or systems (preferred).
    • Basic knowledge of HVAC systems and parts is a plus.
    • Problemsolving skills to proactively address and resolve warranty claim issues.

Pay Range: $60000 base salary or depending on experience
