Description:
We are looking for a Facilities Coordinator to support and oversee daily facilities operations across EMEA locations. You will be responsible for ensuring a wellmaintained safe and efficient working environment coordinating service providers managing facilities contracts supporting operational logistics and maintaining high standards for space management and employee experience.
Key Responsibilities:
Facilities & Operational Activities:
  • Ensure optimal office space utilization and adherence to capacity guidelines.
  • Oversee office layout planning and workspace reconfigurations as needed.
  • Coordinate the activities of Travel Specialist Facility Assistant Handy Man Cleaning and Security Agents in Bucharest.
  • Supervise janitorial services to ensure cleanliness and hygiene in all areas.
  • Manage routine and emergency maintenance (HVAC electrical plumbing etc..
  • Supervise employee onboarding and offboarding from a facilities perspective.
  • Support the organization of client visits from a facilities standpoint.
  • Manage mobile telephony services (activation/deactivation/upgrade of subscriptions cost control fleet management).
  • Oversee daytoday operations related to premises: security space and cable management UPS fire suppression systems backup generators and air conditioning.
  • Manage facilities resources: working spaces training rooms meeting rooms and supply stock (coffee water office materials).
  • Coordinate maintenance services and repairs both scheduled and adhoc.
  • Conduct regular facility inspections ensuring compliance with health and safety regulations.
  • Oversee document registration mail handling and shipment processes.
  • Manage facility repair requests in a timely manner.
  • Maintain and update the EMEA car fleet database.
Contract and Vendor Management:
  • Build and maintain a database for Facilities & Travel contracts.
  • Negotiate contracts monitor service quality and ensure timely renewals with Purchasing Team support.
  • Manage PO creation and invoice matching for related vendors and services.
Financial & Document Coordination:
  • Coordinate document flow between Finance team Stefanini employees and accounting partners for Bucharest Chisinau Krakow and Opole locations (invoice collection scanning budget owner approval followup).
Other Support Tasks:
  • Act as backup for Facilities Manager and Travel Specialists during absences or annual leave.


Skills and Qualifications:
  • Education: College diploma in Business Administration Business Management or a related field (or equivalent experience).
  • Experience: 02 years in a similar facilities coordination or administrative support role.
Required Skills:
  • Strong organizational and time management abilities.
  • Proficient IT skills including use of Microsoft Office Suite and operational tools.
  • Ability to prioritize tasks and work effectively under pressure.
  • Strong interpersonal and communication skills both written and verbal.
  • Initiativedriven with the ability to work independently.
  • High attention to detail and commitment to accuracy.
  • Flexibility and adaptability to a fastpaced and evolving environment.
  • Good problemsolving abilities and basic project management skills.
