Job Description

*Job Title:* Executive Assistant to the Managing Director
*Location:* Mumbai (Candidates Only)

*Job Summary:*
FTV Ind is looking for a dynamic and highly organized Executive Assistant to provide comprehensive support to the Managing Director (MD). The ideal candidate will demonstrate exceptional multitasking abilities strong attention to detail and excellent communication skills. The Executive Assistant will be responsible for ensuring the smooth and efficient running of the MD s daytoday activities including managing schedules coordinating travel handling correspondence and assisting with various special projects. The role requires someone who thrives in a fastpaced environment is proactive and can handle multiple priorities simultaneously.

*Key Responsibilities:*
*Calendar Management:* Efficiently manage the MD s calendar including scheduling meetings appointments and prioritizing urgent requests. Ensure that all commitments are organized and timesensitive matters are handled effectively.
*Meeting Coordination:* Organize and coordinate internal and external meetings ensuring all necessary logistics such as meeting rooms agendas and required materials are prepared. Act as the point of contact for meeting scheduling and followups.
*Travel Arrangements:* Plan organize and coordinate complex travel itineraries including flights accommodation and transportation. Handle lastminute changes and ensure that the MD s travel plans run smoothly.
*Correspondence Management:* Manage and filter incoming communications (emails phone calls and mail) on behalf of the MD responding on their behalf when appropriate and ensuring urgent matters are escalated promptly.
*Report and Presentation Preparation:* Assist in the creation of reports presentations and other documents needed for meetings board presentations and other business requirements. Ensure the quality and accuracy of all documents.
*Special Projects:* Assist in ad hoc projects research tasks and other responsibilities as assigned by the Managing Director. Proactively offer support and suggest improvements for operational efficiency.
*Confidentiality & Discretion:* Handle sensitive and confidential information with the utmost discretion and professionalism.

*Qualifications and Skills:*
Proven experience as an Executive Assistant Personal Assistant or similar role ideally within a corporate or fastpaced environment.
Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
Excellent written and verbal communication skills with a keen attention to detail.
Advanced proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook). Knowledge of other software tools (e.g. Google Workspace project management software) is a plus.
Ability to work independently and as part of a team with a flexible and adaptable approach to changing demands.
Strong problemsolving skills and the ability to remain calm under pressure.
Professional demeanor with excellent interpersonal skills and a high level of initiative.

*Additional Requirements:*
Ability to work flexible hours including occasional evenings or weekends depending on the MD s schedule.
Must be based in Mumbai and available to work inoffice when required.
A proactive and serviceoriented attitude is essential to ensure the MD s daily tasks are executed seamlessly.
