WHATS THE OPPORTUNITIY

We are looking for a temporary fulltime File and Resource Management Administrator to join our team from June 2 2025 to August 29 2025 as part of the Canada Summer Jobs program! In this role you will assist in aligning the storage and retention of legacy agency client files with the updated current policies of Camino and play a key role in supporting the agency transition towards a paperless file storage approach wherever possible and helping align the archive data system to adhere with current policies.

WHAT YOULL BE DOING:

  • Contribute to the plan and of a strategy to organize hard copy client files and archive electronic files following Caminos processes or ministry guidelines
  • Become the subject matter expert within the client current file management system (EMHware) fully understand the management retention and destruction of files in that system
  • Familiarize and have basic understanding of the archive database systems (Penelope Caseworks AIM Archive) and the connection between the various systems of client record storage.
  • Handle all access to hard and soft copy client files with the highest privacy integrity and confidentiality.
  • Upload and organize client files working closely with the Supervisors of Programs and Services and Administrative Supports for approvals on tasks where required and direction of file management.
  • Understand reporting function of the system pull and review clinical file upload reports
  • Data entry as required as we digitize critical hard copy files into the client file management system.
  • Participate as a member of the Administration Supports team by attending Client File Project meetings and team meetings.

WHAT WERE LOOKING FOR:

  • Enrolled in or completed postsecondary education in the social services field
  • One to two years of administrative experience preferred
  • Experience with client file management systems (e.g. EMHware AIM or Penelope) is a strong asset
  • Strong communication and organization skills
  • Working knowledge of office equipment Microsoft office programs and general computer skills
  • Strong attention to detail for effective and efficient data entry
  • Ability to work independently at times and as a team player as part of a larger team
  • Proven ability to solve problems
