Job Description
The Shipping & Receiving Specialist is responsible for incoming and outgoing shipments including inspections acceptance checking in packages preparing and transferring deliveries. Delivers materials to various locations and prepares outbound shipments for pickups by various carriers. Assists in the processes of ensuring assets are properly processed and tagged per University policy as well as facilitation of surplus property. Operates powered industrial trucks (fork truck electric/manual pallet jacks) and box trucks while maintaining a secure safe and clean warehouse. Valid Drivers License Fork Lift Certification Ability to read understand follow and enforce safety procedures. General Duties: Consolidates equipment supplies and packages for delivery by campus building and priority. Coordinates with the Receiving Department Lead to determine what should be delivered first e.g. refrigerated and time sensitive material and establishes a delivery schedule that includes those factors. Sets up the delivery routes utilizing a lastin/firstout loading concept. Loads the cargo van or high capacity truck as appropriated using a forklift or pallet jack when necessary. Supervises workstudy students or temporary employees when available to assist in the loading and delivery functions. Delivers materials to various/appropriate departments on and off campus utilizing QTraks (or current software) to track the delivery of packages including obtaining signature of individual receiving packages. Receives equipment and supplies of all types from vendors including highly expensive scientific instrumentation and hazardous biological/radioactive/ chemical materials. Receives express and overnight shipments from various carriers such as FedEx UPS and US Postal Service. Inspects shipments for visible damage and validates material against bills of lading or truck manifests before acknowledging receipt and acceptance by an original signature. Reports damages to carriers and vendors as the FOB coding dictates. Purchase Ordered Items: Opens and inspects packages checks for concealed damages matches contents against packing slips organizes material for final receipt and entry into Banner/current inventory system. Items are logged and tagged as assets where applicable. Prepares outbound shipments for pick up by various carriers LTL shippers UPS FedEx etc. Ensures that all shipments and packages are documented in accordance with OSHA ICC NRC and CDC regulations and codes. Prepares bills of lading and other appropriate documentation in accordance with the above regulatory agency requirements. Contacts carriers to schedule pickups signs appropriate documentation for the carrier and files the related documents Inspect physical conditions of vehicles and forklift for maintenance repairs or replacements. Assist in Surplus processes including: picking up items organizing items tagging/processing items visitors assistance surplus events. Required to work callout on the weekends or on holiday shutdowns of the University.
