In a context of complex and multi country operational delivery and transformation this role is a key to support the Chief Information Officer in running and maximizing the performance of the CIO direction in line with our SCALE UP strategy in time on cost and providing the right quality.
This role provides key support to the Chief Information Officer working closely with him on daily activities managing some key initiatives and ensuring effective coordination across teams and with various departments. The Executive Assistant (EA) will act as a liaison between the executive and other team members help to prioritize and drive important projects. The EA plays a vital role in streamlining operations driving organizational priorities leading transversal studies coordinating global projects preparing efficient meetings and supporting the overall effectiveness of the leadership team of the function.
The main responsabilities are:
Executive support
- In partnership with the personal assistant anticipate needs from the head of function: ensuring that content for all meetings are prepared briefs communications drafted priorities hierarchized and managed documents stored and archived
- Coordinate and manage the governance of Chief Information Officers team including preparation of agendas presentations recording and follow up of actions track and monitor delivery of goals cascade information coordinate information requests and other support required
- In conjunction with the Leadership team prepare strategic or operational notes and presentations for various audiences anticipate and review documents presented at AXA Partners Executive Committee;collaborate closely with teams on topics of shared interest to ensure effective preparation of meetings and presentation material
- Ensure that decisions taken are followed up and implemented effectively and that all stakeholders are kept informed of decisions and actions in a timely manner
- Regularly provide insights on ways to clarify the governance and improve the efficiency of the function
- Ensure that meetings are efficiently run in content timing and output
Studies and analyses
- Coordinate and lead studies within the IT function across AXA Partners and with the Group and engage teams consultancy when allocated and all internal and external stakeholders
- Monitoring and following up deliveries in close collaboration with the Senior Leadership Team
- Promote agile methodology and OTOBOS project On Time On Budget On Scope
- Maintain an uptodate organisation chart of the Function
- Contribute to increase communication on our transformation and business activities

- At least 5 years of experience ideally on fields related to IT projects or in an IT environment at least eager to evolve in an tech environment and with interest in technical topics or with a first experience in management consulting
- Highly effective communication skills with the capacity to adapt to local cultures and contexts andexperience working internationally with multiple functions in a matrix organisation
- Advanced level of analysis and synthesis skillsProgram/Project management experience and change management abilities and high level of proficiency in Powerpoint presentations Note etc
- Delivery orientation with the ability to learn and embrace continuous improvement in processes and implementation approach
- Proactive mindset anticipating needs and actions
- Deep listening humility pragmatism and sense of confidentiality
- English French fluent or bilingual level Spanish is a plus
