Position Overview:
The HOA Coordinator is an entrylevel administrative position responsible for supporting all aspects of Homeowners Association (HOA) and City Code compliance activities. This includes processing HOA assessments managing correspondence and resolving code violations. The role requires strong attention to detail organizational skills and the ability to communicate clearly and professionally. Tasks may vary depending on department needs and workload.
Key Responsibilities:
Duties and responsibilities include but are not limited to:
- Conduct annual or asneeded audits of HOA assessment accounts to ensure timely and accurate payments
- Address inquiries related to HOA and City Code violations; create and manage related work orders.
- Sort scan and classify daily incoming HOA and municipal correspondence.
- Manage disputes on fines; process appropriate payments or appeals for HOA and City Code violations.
- Communicate violations with tenants and coordinate internal responses for vacant properties.
- Prepare and submit Architectural Change Request (ARC) forms to HOAs.
- Handle lien notices and attorney correspondence relating to HOA or municipal issues.
- Adhere to all company systems policies and procedures.
- Maintain compliance with safety protocols and legal requirements.
- Perform other duties as assigned by management
Minimum Qualifications:
Education & Experience:
- High school diploma or GED required
- Bachelors degree preferred
- Prior experience with HOAs is highly preferred
- Microsoft CRM Dynamics or Yardi experience is a plus
- Background in customer service is beneficial
Skills & Abilities:
- Proficient in Microsoft Office (Word Outlook Excel)
- Excellent verbal and written communication skills
- High level of accuracy and attention to detail
- Strong organizational and time management abilities
- Ability to adapt to changing priorities and work independently
- Must maintain professionalism and confidentiality
