Job Summary:
As an Operations Administrative Specialist you will play a key role in entering and maintaining contracts between Owners and Contractors and ensuring the smooth operation of our software environments. You will be responsible for establishing and maintaining client information in Gordians proprietary software Your expertise will contribute to the efficiency and effectiveness of our procurement operations teams nationwide.
Key Responsibilities:
- Entering and maintaining contracts between Owners and Contractors
- Creating renewal documents and applying pricing adjustments to contracts
- Establishing and maintaining client information in Gordians proprietary software
- Responding to daily contractual inquiries and requests from internal and external sources
- Coordinate information and schedules with internal resources to ensure contract implementation success
- Coordinate information and schedules with Engineering Team to ensure contract implementation and renewals are executed appropriately
- Establish and maintain contract database for all Gordian customers
- Establish and maintain customer account details
- Help troubleshoot issues and errors related to source systems particularly in areas such as publishing contract setup contractor setup customer setup renewals data uploads and MCIDs.
- Collaborate with Development/Support teams on software updates and troubleshooting efforts.
- Manage and maintain accurate contractual information for operational teams across the country.
- Handle daily contractrelated inquiries and requests from both internal and external stakeholders.
- Coordinate schedules and information with internal resources to ensure successful contract implementation.
- Work closely with the Engineering Team to ensure contracts and renewals are executed effectively.
Qualifications:
- An Associate degree or equivalent work experience is preferred.
- Proficiency in Microsoft Office Suite with a strong emphasis on Excel.
- Entrylevel knowledge of basic programming including HTML is preferred.
- Selfmotivated with the ability to complete tasks independently with minimal supervision.
- Detailoriented with a commitment to high accuracy and confidentiality.
- Demonstrated customer service excellence coupled with outstanding communication skills.
- Highly organized and adaptable with the capability to multitask and meet tight deadlines.
- A track record of success in a team environment fostering a positive work culture.
- Ability to work remotely with required annual team meeting inperson.
