What we want
We are seeking a highly organized and proactive Administrative Coordinator II to manage our office operations and provide comprehensive administrative support to the Rural and Community Health Institute (RCHI). The ideal candidate will oversee daily office functions act as the primary contact for visitors and clients and ensure smooth office procedures. They will also support programmatic operations by compiling reports managing data and coordinating marketing efforts. Additionally this role involves scheduling and coordinating meetings events and travel arrangements for leadership. Strong communication skills attention to detail and the ability to handle multiple tasks are essential for success in this position.
What you need to know
Salary: Compensation will be commensurate to the selected hires experience.
Schedule/Location: Located in College Station this position is onsite only with a typical schedule of Monday Friday 8 a.m. to 5 p.m. This position may occasionally require work beyond normal office hours and/or work on weekends.

Required Education and Experience
Bachelors degree or equivalent combination of education and experience
Three years of experience in office administration
Preferred Qualifications
Bachelors degree
5 years of office management experience
Familiarity with Texas A&M operational policies and procedures
Proficient in Texas A&M applications including Concur AggieBuy WorkDay and Canopy
Working knowledge of Microsoft 365 applications including SharePoint and OneDrive
Knowledge Skills and Abilities
Working knowledge of Microsoft 365 applications including SharePoint and OneDrive
Experienced in developing presentations in Canva and PowerPoint
Ability to effectively communicate both orally and in writing
Excellent communication and presentation skills
Strong interpersonal and organizational skills
Ability to orally comprehend and express information and use inductive and deductive reasoning
Ability to positively and professionally interact with clients staff and groups
Ability to multitask and work cooperatively with others
Responsibilities
Office Administration: Serves as the onsite office manager and is responsible for the daily opening/closing of the office at 8am and 5pm.Acts as the primary point of contact for visitors clients building maintenance and parcel deliveries. Develops updates and monitors office procedures and ensures adherence to office protocols. Manages shared digital storage of files business contacts records. Responsible for office space office supplies mail and equipment and coordinates the maintenance of office equipment. Participates in meetings webinars etc. on A&M operational functions and disseminates related information to leadership. Prepares and takes minutes at meetings. Researches interprets compiles and responds to inquiries about TAMU rules regulations policies and procedures. Conducts annual RCHI inventory. Attends meetings or committees on behalf of supervisor. Makes recommendations for process improvements and/or administrative changes. Develops and maintains knowledge and understanding of relevant state guidelines. Manages correspondence and communications for the office.
Programmatic Support:Participates in the planning and of programmatic operations. Compiles organizational reports and/or presentations and collects and manages relevant programmatic information and data. Coordinates all marketing and promotional materials and resources (e.g. website social media) in conjunction with university and external marketing teams. Performs special analyses and project summaries as assigned. Performs other duties as assigned by leadership.
Meeting Events Travel: Provides administrative support to the leadership including but not limited to scheduling and coordinating meetings and events. Manages appointments for the CEO/COO and conducts correspondence as needed. Coordinates staff leadership and other departmental meetings including seminars and special events and may provide onsite support. Coordinates travel arrangements and completes travel requests and expense reports for the CEO.
