mPower is a womanowned small business seeking a highly organized and detailoriented Administrative Support Specialist to provide comprehensive administrative and operational support to our learning and training activities. This role is critical to ensuring smooth daytoday operations compliance with directives and efficient communication across teams. The ideal candidate will have strong experience in administrative processes particularly within a Navy or Marine Corps setting.
Job Responsibilities:
Review staffgenerated correspondence for compliance with Navy policies and formatting standards.
Manage site mail operations including mail pickup and delivery as needed.
Administer file and records management systems ensuring accurate filing uptodate documentation and compliant records disposal.
Create prepare and route official message traffic and ensure timely local distribution.
Prepare award and retirement packages as well as other ceremonial correspondence.
Oversee staff checkin/checkout processes including travel coordination indoctrination and nocost TAD orders.
Coordinate printing needs and maintain documentation related to the printing program.
Manage and update administrative directives in line with current policies.
Prepare Navy and Marine Corps fitness reports and route them for necessary approvals.
Fulfill Privacy Act administration duties including conducting and reporting on audits.
Act as liaison with Personnel Support Activity and Training Support Detachment offices managing access to personnel systems (e.g. TOPS NSIPS NEAS MNA) submitting records and coordinating advancement processes.
Draft Letters of Designation and maintain instructor and officer training records.
Assist in classroom setup and preparation for training events including graduation documents and coordination with student control offices.
Maintain and update group lists in the global address directory.
Support content management on shared drives by eliminating PII risks and duplicates.
Track and update training statuses and schedules across TWMS MNP NeL FLTMPS and the training site web page.
Create and distribute daily muster and biweekly reports with input from team leads.
Manage IA checklists PII security and compliance spot checks.
Coordinate and maintain training records including General Military Training (GMT).
Track budget balances and oversee inventory of supplies related to learning activities.
Support emergent administrative needs as required by the learning activity or leadership.
Required Qualifications:
High School Diploma or GED required.
Minimum of four 4 years of administrative experience with at least two 2 years in a Navy or Marine Corps setting.
Valid drivers license.
Ability to obtain and maintain a favorable Tier 3 Background Investigation and Secret Clearance if required.
Completion of ethics training as required prior to working with students and staff.
