Role Name: Bilingual Administrative Assistant

Schedule:

  • 20hours/week

  • 8:00 am 10:00 am 2:00pm4:00pm MST

Job Description

Step into an exciting role where you ll serve as the vital link between project management and field operations. This position combines traditional administrative expertise with modern project coordination requiring your skills in both English and Spanish to ensure smooth communication across our diverse team. You ll leverage advanced project management software while managing critical scheduling communication and administrative functions. This role offers the perfect blend of independent work and team coordination with opportunities to impact operational efficiency directly and project success.

Responsibilities

  • Manage and prioritise incoming communications ensuring critical messages receive immediate attention
  • Coordinate daily schedules with field contractors through multiple communication channels
  • Conduct evening checkin calls with contractors to confirm nextday schedules and logistics
  • Perform morning followup communications to verify contractor arrival times and address any immediate concerns
  • Process and distribute invoices while maintaining accurate financial records
  • Master our specialized project management software to optimize workflow efficiency
  • Facilitate clear communication between English and Spanishspeaking team members
  • Maintain organized documentation of all contractor schedules and projectrelated communications
  • Support overall project coordination through proactive administrative assistance


Requirements


  • Native or businesslevel fluency in both English and Spanish (written and verbal)
  • Excellent communication skills with a professional phone manner
  • Strong organizational abilities and attention to detail
  • Demonstrated experience in administrative support or project coordination
  • Comfort with learning and using new software systems
  • Ability to work independently while maintaining strong team communication
  • Reliable internet connection and quiet home office environment
