Office Support Specialist
Were looking for an energetic and organized Office Support Specialist to join our team. Youll be the face of our office ensuring everything runs smoothly and everyone feels welcome. Your role will be crucial in creating a positive work environment and supporting our teams success.
What youll do
Hospitality and Reception
- Welcome visitors and colleagues with a smile
- Manage reception services including greeting guests and announcing updates
- Support meeting room bookings and arrange lunches when needed
Office Management
- Handle mail deliveries and courier services
- Keep our office tidy and wellstocked with supplies
- Perform daily site checks and report any issues
- Work with property managers to maintain our facilities
Administrative Support
- Manage documentation and recordkeeping
- Process purchase orders expense reports and invoices
- Coordinate with Executive Assistants for inhouse events
- Support senior management needs as they arise
Safety and Security
- Control office access and maintain visitor records
- Manage access badges for new and visiting colleagues
- Take charge of health and safety initiatives including first aid and fire warden training
Facilities Management
- Oversee office cleaning waste removal and recycling
- Coordinate with facilities vendors for maintenance and services
- Raise and follow up on facilities tickets using our management tool
- Track officerelated spending and maintain accurate records
Qualifications :
What youll bring
- Excellent communication skills in English (Dutch is a plus)
- Strong organizational skills and ability to multitask
