Position Summary

The Executive Assistant (EA) will provide highlevel administrative support to the Executive Director for Operations and the Chief Administrative Officer (CAO) at Massey Comprehensive Cancer Center. This role will be responsible for coordinating executivelevel activities managing complex schedules handling confidential communications and assisting with faculty onboarding processes. The EA will play a key role in ensuring seamless administrative operations within the executive office.

Key Responsibilities

Executive Support

  • Provide comprehensive administrative support to the Executive Director for Operations and the CAO including calendar management meeting coordination and travel arrangements.
  • Prepare and edit correspondence reports and presentations on behalf of executive leadership.
  • Serve as the primary point of contact between internal/external stakeholders.
  • Coordinate and track followups from leadership meetings to ensure timely of action items.
  • Maintain and organize confidential records and documentation.

Faculty Onboarding Support

  • Serve as a liaison between new faculty members and key departments ensuring a smooth onboarding experience.
  • Coordinate onboarding logistics including credentialing HR documentation workspace setup and IT access.
  • Develop and maintain onboarding checklists and process guides to streamline faculty integration.
  • Facilitate introductions and schedule orientation meetings with relevant stakeholders.

Operational & Project Support

  • Assist in the development and implementation of administrative procedures to enhance efficiency within the office of Administrative Services.
  • Provide logistical support for internal and external events including executive leadership meetings retreats and conferences.
  • Track key deadlines and assist in preparing reports dashboards and performance metrics for leadership.
  • Other duties as assigned.
Qualifications

Qualifications & Skills

Required:

  • Bachelors degree in Business Administration Healthcare Administration or a related field or equivalent experience.
  • Minimum of five 5 years of experience in an executive assistant or administrative support role preferably in a healthcare or academic setting.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and other office management tools.
  • Strong organizational and timemanagement skills with the ability to prioritize multiple tasks effectively.
  • Excellent verbal and written communication skills with a professional and diplomatic approach.
  • Ability to handle sensitive and confidential information with discretion.
  • High level of attention to detail and accuracy in all work products.
  • Demonstrated experience working in and fostering an environment of respect professionalism and civility with a population of faculty staff and students from various backgrounds and experiences or a commitment to do so as a staff member at VCU
