Job Description

The Philanthropic Services Coordinator plays a key support role within the Philanthropic Services team focusing on internal operations of administrative support process documentation and project coordination to advance client goals. This position is primarily nonclientfacing though there may be certain circumstances that require client interactions. A key component of this role will be to establish an exceptional understanding of the Foundations technology and operational program needs to support donors and team members.


Qualifications:

:

  • Bachelors degree in nonprofit management business management or a related field*
  • 23 years of experience with CRM database administration e.g. Client Relationship Management software (CRM)
  • Strong computer skills preferably with experience in Microsoft Office Suite DocuSign SharePoint Community Suite (Foundant) CRM and Adobe Acrobat
  • Strong interpersonal and negotiation skills to include strong verbal and written communication skills
  • Detail oriented with strong organizational analytical problem solving and planning skills
  • Ability and willingness to learn new systems techniques and procedures as well as to make improvements to those systems
  • Willingness and ability to work as a team member with colleagues and external partners operate in varying team settings and listen with understanding

Preferred:

  • Demonstrated history of effective project management from inception to implementation
  • Related project management certifications (i.e. Project Management ProfessionalPMP Certified Associate in Project ManagementCAPM etc.

*A combination of relevant education and previous experience may be considered in lieu of the defined educational requirements may be considered.


Responsibilities:

  • Coordinate and support projects of the Philanthropic Services team from initiation to completion. Track project timelines deliverables and outcomes to ensure timely . Collaborate with internal teams and stakeholders to allocate resources and meet project milestones.
  • Provide administrative and logistical support to Philanthropic Services team members in donor stewardship and clients. Assist in the preparation of presentations reports donor and Board materials.
  • Develop document and maintain clear and efficient standard operating procedures for team operations. Regularly review and update procedures to reflect best practices and system changes. Ensure team adherence to standard operating procedures and facilitate team awareness of updates as appropriate.
  • Accurately enter update and maintain donor and fund data in CRM databases. Ensure the integrity and confidentiality of sensitive data. Support data reporting and analytics as needed for internal and external use.
  • Maintain a reliable calendar of key dates including grant cycles reports Board meetings tax filings/payments and other clientspecific deadlines. Monitor and communicate critical deadlines to relevant teams to ensure compliance and preparedness. Coordinate crossdepartmental efforts to meet timesensitive deliverables.
  • Serve as liaison between Philanthropic Services and other internal departments such as Finance Community Investment and Marketing. Facilitate smooth workflow and informationsharing between teams.
  • Ensure records are accurately maintained and managed in accordance with retention schedules governance standards and compliance requirements.
  • Assist with general communication and outreach to grant applicants and grantees as needed including scheduling site visits technical assistance etc.
  • May be required to complete other duties within scope as assigned

Environment:

The primary work locationis1120 S. 101stStreetin Omaha Nebraska. This role is expected to work in the office with the occasional flexibility to work from home.
