About this Position:
Job Title: Logistics Coordinator
Key Responsibilities:
- Coordinate all travel-related logistics for facilitators assistant facilitators and team members traveling across state.
- Book and manage transportation (flights car rentals mileage) and lodging in accordance with clients travel policies.
- Track travel itineraries hotel confirmations and expense documentation for compliance and reimbursement.
- Communicate with facilitators regarding their travel plans arrival times and event locations.
- Ensure delivery of all necessary materials supplies and equipment to event sites ahead of time.
- Provide logistical support for last-minute changes or emergencies during travel or event days.
- Maintain an organized log of travel expenses receipts and compliance forms.
- Serve as a liaison between the facilitation team and clients travel/reimbursement departments as needed.
Minimum Qualifications:
- 2 years of experience in logistics coordination event planning or administrative support
- Strong organizational and multi-tasking skills
- Experience coordinating travel and lodging arrangements across multiple locations
- Familiarity with booking tools mileage tracking and expense management
- Excellent communication and problem-solving skills
- Proficient in Microsoft Excel Word and digital collaboration tools
Preferred Qualifications:
- Experience supporting field teams training programs or workshop/event logistics
- Familiarity with university or federal grant travel and reimbursement policies
- Background in public-sector education or emergency preparedness projects
- Based in or near local preferred for in-state coordination
