Job Description

Primary Purpose

This position works cooperatively with faculty and staff in welcoming new returning workforce education and continuing education students as well as the public. The Student Success Navigator will interact with student and families in person by phone email or other digital formats to provideaccurate information regarding all services and resources available to students and other areas of general information concerning the College.This position is accountable for performing all work accurately and efficiently in a manner that complies with all federal state and institutional policies and procedures while working as an integrated team. This position works independently with minimal supervision and may be assigned lead in the absence of the supervisor.

Description of Essential Functions

Customer Service/Student Success Navigation (approx. 25 of Time)

  1. Assist students with understanding their charges for tuition fees books etc. including Title IV aid and loans paid onto accounts and any payments made to their accounts
  2. Provide excellent customer service for all visitors community members students and guests of the college. Greets and directs guests clients and potential students to the appropriate areas for assistance by promoting a positive informative and welcoming environment for the guests and students.
  3. Has a general understanding of the campus community and can efficiently and effectively direct customers to appropriate service areas.
  4. Ensures compliance with the Family Education Rights and Privacy Acts (FERPA) as it relates to the assigned areas of responsibility.
  5. Ensures the integrity quality and accuracy of financial and billing data in student information system.
  6. Handles customer service inquiries and problems via telephone internet or written correspondence.Answers general and common questions about the college college processes workforce and continuing education courses student admission financial aid payment information and career services inquiries.
  7. Responsible for informing students about the various college petition policies and processes including but not limited to Financial Aid appeals tuition overload petitions Academic Standards petitions and tuition refund petitions.
  8. Assists in developing communication to encourage students to complete financial aid paperwork set up payment plans pay balances etc.

Registration Services and Student Records (approx. 25 of Time)

  1. Assist with all steps of the registration process including: inperson registration web registration grades GPA and class information release and/or restrict information data change requests add/drops wait list prerequisite waivers instructor consent program codes placements scores and course challenge requests.
  2. Research and solve registration problems while protecting the integrity of the student database.
  3. Create maintain and update student record information including but not limited to student ID# name address SS# and birth date using various types of student record forms.
  4. Verify and process enrollment verification requests.
  5. Process student grade changes with complete accuracy.
  6. Process paper and electronic official grade transcript requests and address all academic and financial hold issues in a timely manner before processing any transcript.
  7. Assure that all policies and procedures are followed to stay within records retention compliance and manage records for Registration Services.
  8. Process records for deceased students in accordance with all federal state and institutional requirements.
  9. Process and maintain official records; answer specific questions regarding records; ensure records are accurate and complete; and investigate and resolve any questions or discrepancies.
  10. Process duplicate records as discovered. Work with multiple campus offices to resolve the data challenges.
  11. Collects tracks and coordinates the review of Exceptions to Policy to ensure accurate recordkeeping and an expedited review process for students.
Financial Aid (approx. 25 of Time)
  1. Works with the Assistant Director of Financial Aid on individual student aid eligibility.
  2. Receive and review FA documents for completion and accuracy to assist in verification process.
  3. Assist OCCI Operations Coordinator with sourcing funding for highneed students in culinary arts and baking & pastry arts program.
  4. Assist the OCCI Operations Coordinator with providing financial information about OCCI students to better serve the needs of the student.
  5. Understand and communicate Satisfactory Academic Progress (SAP) policy to assist students in completion of appeal paperwork. Receive and review SAP paperwork for completion and accuracy.
  6. Interacts with appropriate outside entities in order to facilitate the student eligibility process.
  7. Maintains appropriate documentation via data entry system.
  8. Participates in annual training and professional organizations to keep abreast of new information and program changes to be implemented.
  9. Makes necessary referrals to student service offices to students experiencing family personal or economic crises which may impact school performance.
  10. Counsel students on the Return of Title IV process to assure students have an opportunity to make the best decision for their situation.
Cashiering (approx. 25 of Time)
  1. Act as point of contact for the business office in receipting and researching all incoming institutional monies.
  2. Receipt and reconcile all types of monies concerning students accounts.
  3. Assist students with payment plan enrollment and troubleshooting.
  4. Assist Account Receivable Technician with the collection of delinquent debts invoked by the student registration process.
  5. Assist in the updating preserving and managing of student account holds.
  6. Responsible for balancing of individual till daily and coordinate and assist other Student Success Navigators in the checkout tasks to ensure all cashier activities have balanced.
  7. Correct void and refund transactions as needed.
  8. Verify and cashier other departmental deposits.
  9. Utilize training and testing environments to troubleshoot and develop and update procedures.
Performs Other Duties and Special Projects as Required/Assigned

Required Knowledge Skills and Abilities

REQUIRED QUALIFICATIONS

Associates Degree ORthe equivalent to two 2 years of posthigh school training/education within a financial setting and/or public institution plus additional college training in accounting computers or business related classes.


Minimum of two 2 years of experience working in a cash handling business setting or related computerized accounting environment.

  • Ability to work effectively and sensitively with individuals of diverse cultural backgrounds perspectives and abilities.
  • Ability to consistently convey a pleasant and helpful attitude by using excellent interpersonal and communication skills to control sometimes stressful and emotional situations. Requires sufficient communication and human relations skills to resolve complaints/issues defuse anger and gain cooperation that may include but are not limited to loans billing statements collection issues and agency authorizations.
  • Ability to perform data entry in the collegewide Student Information System word processing and spreadsheet applications. Exhibit a high level of computer literacy sufficient to use software such as word processing spreadsheets and databases to produce correspondence documents and reports. Sufficient manual dexterity to be able to operate office computer fax tenkey and calculator.
  • Ability to comprehend and apply the registration process the accounts receivable module and the degree requirements outlined in the Southwestern catalog for required course work in determining continued financial aid eligibility.
  • Ability to draw on a broad range of knowledge to determine the proper required documents for financial aid eligibility and the ability to resolve individual issues on a daily basis using acquired knowledge training and other resources including other departments.
  • Ability to read and comprehend tax returns analyze data from tax returns and correctly apply the information to the financial aid process.
  • Ability to read review understand and apply concepts presented in training programs conferences federal and state regulations professional literature and other related materials pertaining to financial aid registration and cashiering.
  • Ability to understand and access various files in the computer to verify accuracy of the registration costs and other pertinent data including all types of financial aid awards tuition waivers and agency sponsorship awards.
  • Requires the individual to interpret and apply a vast array of federal regulations to current and future policies and procedures to accurately and efficiently monitor student aid eligibility. Ability to adapt quickly and smoothly to continuous changes in federal state and college regulations policies and procedures.
  • Ability to maintain professionalism confidentiality and objectivity under constant pressure and crisis situations. Compliance and complete understanding of FERPA is essential. Ability to work with time deadlines and a high level of accuracy using independent judgment in determining college and student eligibility.
  • Ability to work and cooperate with staff at all levels and assist other Student First Stop employees in maintaining a freeflowing studentoriented atmosphere.


PREFERRED QUALIFICATIONS

Bachelors degree.

Experience in a higher education setting

Experience in the financial aid process or other related field within a federal state or local governmental organization.
