Position Summary
TheClient Event & Marketing Coordinatorwill play a critical role in delivering an exceptional client journey. This position focuses on working with the advisors and their team to welcome new clients and foster strong relationships through client appreciation experiences. Ideal candidates have a customer service or hospitality and event background and thrive in a role where organization creativity communication and client care are key.
Key Responsibilities
Client Onboarding Gifts:
- Coordinate with the advisors and their team to send welcome gifts to be sent to newly signed clients.
- Manage the selection of gifts to choose from as well as tracking of gifts sent.
Client Relationship Management:
- Proactively ask for google reviews and prospect referrals while maintaining professional relationships.
- Regularly communicate with clients to ensure their needs are met and expectations exceeded via email campaigns and handwritten notes.
Referral Program Management:
- Oversee and manage the firms exclusive referral club The Beacon Black & Gold Club including tracking referrals maintaining accurate records and recognizing participants for their contributions.
- Work with the marketing team to develop creative strategies to promote the referral program and encourage client participation.
Event Planning:
- With the marketing team plan and manage client appreciation events including booking budgeting scheduling and coordinating with vendors.
- Some annual events include: the Nashville Sounds Baseball game Shred Day State of Market Events Valentines Ladies Lunch Veterans Lunch Christmas Concert and Black & Gold Club Event.
- Create memorable experiences and branded gifts that enhance client loyalty and satisfaction.
- Assist the marketing team with prospective events and lunch/dinner seminars as needed.
Administrative & Marketing:
- Assist advisors and marketing team as needed to schedule appointments and communicate client requests needs and concerns.
- Track and report expenses to budget and ensure efficient use of resources.
- Utilize email platforms (e.g. Mailchimp Greminders Salesforce) to execute client communication campaigns.
- Utilize organic social media platforms (e.g. Facebook Twitter LinkedIn) to execute client communication campaigns.
- Use tools like Microsoft Excel to organize and analyze data related to events budgets referrals and client outreach.
- Manage Client Portal on WordPress so clients can easily access their account information as well as all other important dates links events and resources.
Skills & Qualifications
Education and Experience:
- Bachelors degree preferred but not required.
- At least 2 years of experience in customer service hospitality event planning B2C marketing or a related field.
Technical Proficiency:
- Proficiency in Microsoft Excel.
- Familiarity with CRM systems or client management tools preferred.
- Ideal but not required to have experience with WordPress including managing client portals and troubleshooting issues.
- Experience with email marketing platforms such as Mailchimp or similar.
- Comfortable using scheduling and communication tools (e.g. Outlook GReminders etc).
Interpersonal & Communication Skills:
- Exceptional communication skills both verbal and written to interact effectively with clients and team members.
- Strong relationshipbuilding abilities and a clientfirst mindset.
- A high level of professionalism attention to detail and organizational skills.
Event Budget and Gift Management:
- Experience in hospitality and/or planning and coordinating events including managing budgets and logistics.
- Creativity and thoughtfulness in selecting and managing client appreciation gifts.
- Ability to prioritize tasks and work independently in a fastpaced environment.
Salary:
- $55000$60000
