Job Summary:

The AP & Payroll Specialist will report directly to the Payables & Payroll Manager. This role will serve as the primary payroll processing lead with support from Human Resources personnel and other A/P staff. Will administer biweekly payroll and compliance reporting adhering to all labor laws. Will support Accounts Payable Team with assigned duties to support the accounts payable processes. Additionally will be the lead on the Payables electronic inbox routing messaging and will be responsible for documenting and processing the donations received for deposit.


Essential Functions:


Payroll:

  • Process biweekly payroll
  • Advise Human Resources maintenance of HRMIS payroll records
  • Verify accuracy of payroll data and timecard entries
  • Assist with W2 reporting
  • Reconcile 941 Quarterly Statements
  • Ensure accuracy of all tax reporting using Paylocity
  • Ensure compliance and payroll reporting for audits
  • Support 990 payroll related reporting and provide support
  • Train new employees on timecard and PTO entry and approval.
  • Maintain current knowledge on Paylocity system capabilities and best use advising the team on process and system optimization

Accounts Payable:

  • Invoice processing
  • Accurately review and code invoices into Ramp (billpay application)
  • Work with department managers to ensure proper approval and account coding
  • Adhere to the companys payment process and terms
  • Assist with recording manual wire and online payments
  • Help to design and maintain the Ramp approval workflows
  • Vendor management
  • Assist with setup new vendors in Ramp/Sage Intacct
  • Assist with Vendor maintenance and compliance to 1099 and organizational guidelines
  • Assist in preparation & processing annual 1099s
  • Ramp credit card
  • Accurately review and code cc expenses into Ramp (billpay application)
  • Work with department managers to ensure proper approval and receipts/documentation
  • Stay current on Ramp Bill Pay and Spend Management capabilities and new releases working to ensure that the organization fully leverages the system capabilities to drive efficiencies both within Accounts Payable and stakeholders in the organization

Other Accounting Processes:

  • Cash Receipts onsite deposits Prepare deposits according to company process and ensure they are deposited at the bank on a timely basis
  • Ensure adherence to organization policies and procedures
  • Advise and actively pursue process and system improvements
  • Assist in annual audit and other compliance requests
  • Assist in other accounting functions as needed
  • Complete payroll related balance sheet reconciliations as part of the close process
  • Participate in donor pledge drives and pray for donors over the phone as needed
  • Participate in company activities: bible packing donor pledge drives and prayer circles for employees/donors
  • Assist with ad hoc reporting and projects


Demonstrated Faith:

  • Pray for coworkers in team meetings
  • Lead prayer in large group settings as needed
  • Pray for donors when called upon to do so
  • Use Christian principles to work through conflict as outlined by the Culture tool kit
  • Participate in ministry wide Christian bible studies
  • Attend weekly Staff Gatherings for prayer and devotions

Requirements and Qualifications


Education:

  • High School Diploma or equivalent


Required Experience:

  • Minimum 5 years payroll experience (Paylocity Paycom Nextep Paycor) and 23 years A/P experience including 1 year in Spend Management Applications (Ramp Tipalti Concur)
  • Preferred Experience: Sage Intacct general ledger experience.

Knowledge Skills and Abilities:

  • MS Excel proficiency intermediate or higher
  • Understanding of labor law as it pertains to payroll processing
  • Strong administrative and organizational skills
  • Effective communication skills
  • Ability to maintain confidentiality
  • Must be a Christian with a strong demonstrated commitment to follow the teachings of Jesus Christ
  • Possesses a genuine concern for all people and capacity to relate with all people in a sensitive respectful way
  • Must be an active member of a Bible believing local church
  • Ability to offer Christian prayer in group settings
