The primary responsibility of this role will be to assist in logistics operations ensure proper tracking of shipments and update the Customer Service (CS) team with relevant details. Below is a structured project plan outlining the key responsibilities of this role:
Back Office Support Role
Responsibilities & Scope
1. Daily Shipment Tracking (India to NJ)
o Monitor and track all cases being shipped from India to NJ.
o Update tracking details in Lab Guru for accurate recordkeeping.
o Ensure any shipment delays are flagged for proactive followup.
2. Shipment Monitoring (NJ to Customers)
o Maintain records of all shipments sent from NJ to customers.
o Track each case until it is delivered returned or marked as lost.
o Follow up on undelivered cases with shipping carriers and update the CS team accordingly.
3. Customer Service Coordination
o Work closely with the CS team to keep them updated on case statuses.
o Ensure customers are notified in case of shipment delays returns or lost cases with support of CS team.
4. Refund Claims & Carrier Communication
o File refund claims for undelivered/lost shipments via Shippo.
o Communicate with UPS and other logistics providers to process claims.
o Maintain a record of claim status and ensure followups for resolution.
5. Logistics Reporting & Weekly Summary
o Prepare and share daily reports summarizing:
Cases Shipped vs. Delivered vs. Returned vs. Lost
Any shipment delays or issues that need escalation
o Provide insights and recommendations to improve logistics efficiency.
6. Additional Responsibilities
o Ensure proper documentation of all shipmentrelated activities.
o Identify any gaps in logistics operations and suggest process improvements.
o Assist in any adhoc logistics or backoffice support tasks as required.
