You will be updated with latest job alerts via emailThe Summer Employment Opportunity Program (SEOP) provides temporary summer employment opportunities to children stepchildren and spouses of Mayo Clinic employees enrolled in a college degree granting program of study and is intended to help supervisors accommodate employee vacation requests when seasonal work volumes are high.
We are seeking a detailoriented and organized individual to support a critical project involving the review and management of archived medical records and documents stored in our offsite warehouse. The primary responsibility of this role will be to conduct a thorough inventory of all stored materials including patient charts scans and other clinical or operational documents and develop a comprehensive depository list. The specialist will also be responsible for identifying items eligible for secure destruction in accordance with applicable retention policies regulatory guidelines and organizational procedures.
Conduct a complete physical inventory of all materials stored in the designated records warehouse.
Review patient records clinical documentation and miscellaneous stored items to assess retention status.
Create and maintain a detailed depository list/database that catalogs the contents including type of record date range and location.
Collaborate with compliance legal and health information management (HIM) teams to ensure alignment with records retention policies.
Identify documents that are eligible for secure destruction and oversee the preparation process.
Coordinate with document destruction vendors to ensure proper handling tracking and certification of disposed materials.
Flag and escalate any questionable or unclear documents for further review before final disposition.
Implement organizational best practices for confidentiality and HIPAA compliance throughout the process.
Provide regular updates and progress reports to project leadership.
Assist in the development of recommendations for future record storage and management improvements.

Must be a child stepchild or spouse of a current Mayo Clinic employee.
Must be currently enrolled in a degree granting program.
Must be returning to college in the fall.
Must be able to work a minimum of 10 weeks.
Must be 18 years of age or older by the start of the program
SEOP employees should not expect vacation/daysoff to be approved during their commitment.
