Position Summary
We are seeking a dynamic highly organized Executive & Budget Assistant to support our CEO. This pivotal role bridges strategic administration and financial coordination playing a key part in ensuring the organization runs smoothly and efficiently. The ideal candidate is proactive detailoriented and passionate about the arts and nonprofit work.
Key Responsibilities
1. Executive & Administrative Support
- Serve as the CEOs right hand managing calendars meetings travel and communications.
- Prepare presentations reports and meeting materials; record and distribute board meeting minutes.
- Handle confidential information with discretion and professionalism.
2. Budget & Financial Coordination
- Partner with the CEO in developing and monitoring the annual operating budget.
- Track expenditures analyze financial data and ensure fiscal compliance.
- Prepare monthly and quarterly financial reports and projections.
3. Project & Event Management
- Assist with planning and of special projects and initiatives.
- Coordinate logistics for performances fundraisers meetings and academy events.
- Communicate effectively with internal teams and external stakeholders.
4. Research & Strategic Support
- Conduct research on funding opportunities industry trends and strategic initiatives.
- Provide insights and analysis to support organizational planning and growth.
5. Internal & External Communications
- Draft and edit reports memos and correspondence on behalf of the CEO.
- Maintain clear and timely communication with staff board members and partners.
Qualifications
- Bachelors degree in Business Administration Finance Arts Management or a related field.
- 3 years of experience supporting executives preferably in a nonprofit or artsfocused setting.
- Solid understanding of budget planning and financial reporting.
- Proficiency in Microsoft Office Suite and financial management tools.
- Strong interpersonal written and verbal communication skills.
- High attention to detail and ability to multitask in a fastpaced environment.
- Demonstrated ability to handle confidential matters with integrity.
