Job Description

Position Summary

This dynamic position offers the opportunity to play a key role in campus safety and maintenance operations! As a vital member of the team youll provide essential clerical support while leveraging and coordinating the MegaMation DirectLine allinclusive maintenance management system to assist faculty staff public vendors and students. Youll be at the forefront of ensuring fire and life safety compliance by monitoring TEGRIS fire inspection schedules coordinating campus inspections and securing quotes for any necessary repairs. Youll also be responsible for managing campus inspections under M&O ensuring documents meet the Department of Enterprises risk and insurance requirements and handling critical notifications from Johnson Controls to troubleshoot system issues and keep operations running smoothly. Your contributions will directly impact the safety and efficiency of the entire campus community!

You will independently apply your knowledge of college and state policies to handle inquiries and assist with various facilities situations and outcomes. You will prepare and present information on facility processes to both internal teams and external groups as required. Your role will involve collaborating with others in a teamoriented environment fostering resolutions that benefit students the college and outside partners.

This position reports directly to the Director of Facilities and Capital Projects. This position may supervise student employees in the department. This position is overtime eligible.

Essential Job Duties

Primary essential duties and responsibilities include but not limited to the following:

Communication & Public Relations
This position involves responding to emails phone calls and inquiries from both the public and staff regarding rules regulations policies department procedures and services while efficiently resolving any issues that arise. Youll provide clear and accurate information and assistance to public vendors business enterprises staff and students about department policies and procedures. A key part of the role is addressing and resolving concerns ensuring all communication of guidelines and requirements is straightforward and effectively understood. Your ability to navigate and clarify department processes will be vital in maintaining smooth and transparent interactions across all levels.

MegaMation DirectLine Software Management
In this role you will independently serve as the subject matter expert (SME) and administrator for the MegaMation DirectLine maintenance management software providing critical technical assistance training and system updates for staff and supervisors. You will review maintenance work orders to ensure corrective actions preventative maintenance inspections repairs and event requests are accurately addressed. This includes verifying budget codes job types departments and materials used for proper completion. Additionally youll perform administrative functions such as creating and updating preventative maintenance procedures and entering new fixed assets into the system. You will also run the Preventative Maintenance (PM) scheduler ensuring proper asset assignment and inventory updates while tracking retired and surplus assets to maintain accurate inventory and assignments. When needed you will verify custodial supervisors inventory entries and assign custodial work orders in their absence. As part of user management you will handle security tasks including creating and editing system users as well as resetting system defaults for the new fiscal year.

Document & Compliance Review/Vendor Coordination & Troubleshooting
This position involves reviewing documents records inspection contracts and applications to ensure completeness accuracy and compliance with established rules and policies. You will verify that appropriate budget codes and sales tax are applied to purchase requests procure bids and quotes within department purchase limits and order office supplies as needed. In addition youll schedule inspections with contractors and maintain uptodate floor plans for 19 campus buildings. You will also manage campus key and building plan checkouts for vendors and staff review fuel logs for accuracy and communicate with PUD and Grant Co. Public Works regarding streetlight repairs. The role includes handling Port Badge Applications and adding supplemental documents for the M&O crew troubleshooting phone line issues by contacting Lumens/CenturyLink for work orders and reviewing Johnson Controls notifications to address system failures trouble signals and communication issues coordinating necessary troubleshooting to ensure smooth operations.

Risk & Insurance/Fire & Life Safety Compliance & Coordination
In this role you will be responsible for monitoring TEGRIS Fire compliance for campus fire and life safety inspections ensuring all necessary inspections are scheduled and that quotes for repairs related to fire alarms sprinkler systems and other M&O inspections are obtained. You will also manage insurance compliance for approximately 35 state employees ensuring that unexpired drivers licenses and proof of insurance are properly maintained. Additionally you will track and maintain a gas log for state vehicles ensuring fuel charges are accurately allocated to the correct departments and resolving any discrepancies related to vehicle usage and fuel charges. As the Safety Building Coordinator you will oversee safety protocols and compliance for M&O buildings and staff ensuring that all safety measures are up to standard and effectively implemented.

Preventative Maintenance Scheduling & Coordination
In this role you will independently coordinate and track all campus annual and semiannual preventative maintenance (PM) inspections and testing ensuring that schedules are met and all systems are properly maintained. You will procure bids and quotes for repairs related to deficiencies and schedule necessary repairs for critical systems such as fire alarms security alarms elevators backflows generators and pressure vessels. Additionally you will be responsible for maintaining accurate records for fire extinguishers clean agents emergency responder radio systems and other M&O equipment ensuring compliance with safety standards and operational efficiency.

OTHER WORK ACTIVITIES:

  • Maintains professional growth and development through seminars workshops and professional affiliations to keep abreast of latest trends in field of expertise.
  • Ensures no injuries to self or others by following safe work practices and policies. This includes but is not limited to: security and safety understanding of SOS equipment infection control fire disaster safe lifting and body mechanics.
  • Ensures compliance with college policies and procedures and state and federal regulations.
  • Conduct self in a professional manner and ensures the interaction with team members and other support groups is conducted in a courteous and efficient manner conducive to the colleges values.
  • Perform related duties and responsibilities as may be required.

DUTIES OF THE POSITION REQUIRE EXPERIENCE AND KNOWLEDGE IN:
  • Experience providing services to and working with the public.
  • Proficiency with Microsoft Office Suite especially Word Excel and Outlook.
  • Experience organizing tasks and responsibilities with multiple priorities and deadlines.
  • The ability to communicate effectively with students staff visitors and community partners both verbally and in writing. Experience with proofreading is preferred.
  • Demonstrated competency in the ability to provide service in a multicultural environment.

REQUIRED WORK SCHEDULE AND WORK ENVIRONMENT:

Work is sedentary in nature with frequent repetitive hand and wrist motions. Frequent use of computer and exposure to terminal screens in performing work assignments. Frequent need for oral and auditory communications. Occasionally kneel stoop crouch crawl reach and lift up to 25 lbs. in an office environment.

Basic work schedule is 8:00am to 5:00pm Monday through Thursday and 8:00am to 2:30pm on Friday. Hours may be adjusted to meet the needs of the college and/or department.


Minimum & Desirable Qualifications

MINIMUM QUALIFICATIONS:
At the time of application all candidates must possess the following:

  • Associate degree from a regionally accredited institution.
  • One 1 year of clerical or administrative related program work experience.
  • Direct experience providing quality customer service to internal and external customers.
  • Working knowledge of office software and technology including the Microsoft Office suite (specifically Word Excel PowerPoint Outlook and Teams) and Zoom.

ADDITIONAL DESIRABLE:
  • Bachelors degree from a regionally accredited institution.
  • Familiarity with inventory and/or work order management system.
  • Experience with data management such as collecting storing analyzing and reporting.
  • Bicultural experience.
