Background:

Context of the Project:

UN Womens Womens Economic Empowerment Unit focuses on approaches to provide comprehensive solutions for marginalized young women and women to return to education upskill themselves and establish enterprises. Through its various projects/interventions in the areas of education employment and entrepreneurship including focus on climate and climate technologies WEE offers women their families local communities with benefits tailored to their needs as learners and earners.

Under the direct supervision of the Programme Analyst WEE (CORE) the Programme Associate will support in management of financial and administrative activities of the programme coordinate with relevant team members including the operations team implementing partner organisations and other stakeholders as necessary to support successful implementation of Programmes.

Roles and Responsibilities:

1. Provide administrative and logistical support to the formulation and management of Womens Economic Empowerment programmes:

  • Provide administrative support in the preparation of programme work plans budgets and proposals on programme implementation arrangements including tracking the delivery of funds.
  • Provide administrative support to executing agencies/responsible parties in routine delivery and reporting of programme supported activities and finances.
  • Provide administrative support in auditing of relevant programmes/projects.
  • Identify sources and gather and compile data and information for the preparation of documents and guidelines.
  • Prepare documents for the audit of projects and support implementation of audit recommendations.
  • Prepare database of the contracts issued for personnel procuring goods and services provide timely alert submission of deliverables and contract expiration & renewals.
  • Followups with vendors for timely submission of deliverables and invoices for settlement of payments.

2. Provide administrative support to financial management:

  • Create projects in Quantum (UNW ERP) prepare budget revisions revise project awards and status; and determine unutilized funds and the operational and financial closure of projects.
  • Provide administrative support in monitoring and preparation of budgets and the finances of programmes/projects and in the preparation of FACE forms.

3. Provide administrative support to the womens economic empowerment programmes:

  • Undertake relevant logistical administrative and financial arrangements for organization of meetings workshops events and missions including minutes of meetings as needed.
  • Organize and coordinate filing of documents and maintaining mailing lists.
  • Prepare project information materials and briefing packets.
  • Assemble briefing materials and prepare powerpoint and other presentations.
  • Prepare TORs for various HR positions under the project.
  • Prepare documents for RFPs and RFIs and coordinate with Operations Team.
  • Provide support in conducting the due digilence for potential partner private sector entities.
  • Liaise with Procurement and Human Resource Unit on issuance and renewal of contract and related formalities.


4. Provide administrative support to resource mobilization:

  • Organize compile and process documentation and information from donors and programme teams as inputs to various databases and documents.

5. Facilitation of knowledge building and knowledge sharing:

  • Provide administrative support in collating and preparing quarterly and annual donor reports.
  • Provide administrative support to Communication Assistant in preparation of Knowledge products under the project.

Any other task assigned by the Supervisor.
