Job Description

This Administrative Assistant is often the first point of contact for all waste and recycling enquires and provides friendly service to everyone. Your enthusiasm for environmental sustainability and expectational customer service will provide residents of Cochrane information about Town waste and recycling initiatives.

The successful candidate is an organized administrative professional with strong attention to detail and knowledge of the Eco Centre waste and recycling collection services and other solid waste programming. You are eager to work independently as well as part of a team with flexibility and willingness to learn and take initiative on a variety of tasks and projects.

Position Summary:
Reporting to the Manager Waste & Recycling this position performs administrative duties for the Waste & Recycling Section and assists the Operational Facilities Office as a backup with administrative work.

Note this is a permanent parttime position working 30 hours/week (MonFri 8:00am3:00pm).

Key Accountabilities:
1. Provide customer service by receiving directing and responding to requests from internal and external customers including management of waste and recycling hotline.
2. Respond to and document customer enquiries and complaints regarding Waste & Recycling; forward to the manager as appropriate.
3. Review and prepare all documents reports agendas presentations and other correspondence materials as directed.
4. 5. Review and code all invoices and payment receipts.
6. Maintain the weekly Cash Reconciliation Procedure for cash received at the Eco Centre
7. Schedule and coordinate meetings appointments and travel arrangements.
8. Review evaluate and distribute incoming and outgoing correspondence such as mail etc.
9. Operate and monitor office equipment; ensure there are supplies for maintenance and replenishment requirements; order supplies and arranges services as needed.
maintain and interpret statistical spreadsheets and software reporting (ie. Stats excel spreadsheet Report Exec file tracking etc.
and maintain the Waste & Recycling section website content and social media feed as directed.
delivery maps information packages and schedules for delivery and repair of waste and recycling carts; maintain and update cart delivery and repair software .
with the planning organizing and delivering of public engagement or community events for the Waste & Recycling section as needed; attend the events as needed.

Education and Experience:
High school diploma or equivalent
Basic accounting knowledge
Minimum 1 year of experience in an administrative and customer service role
Municipal experience considered an asset
Interest in environmental stewardship and the promotion of waste reduction considered an asset
Previous experience organizing and maintaining records and files
Proficiency with MS Office 365 or similar
Demonstrated understanding and familiarity with websites the Internet and Social Media

Certifications Licenses and/or Designations:
Class 5 Drivers License
ICS 100
FOIP

Excellent customer service skills
Organizational prioritizing and time management skills
Ability to work independently as well as within a team
Ability to adapt to changing priorities
Strong oral and written communication skills
