Job Description

Job Title: Administrative Assistant
Location: Malden MA 02148
Duration: 4 Months (Possible Extension)

Position Summary:

We are seeking a Legal Administrative Support Specialist to provide comprehensive administrative support to a legal office handling sensitive and confidential matters including cases involving sexually dangerous persons and the Sex Offender Registry Board (SORB). The ideal candidate will be highly organized discreet and comfortable handling sensitive legal content and communicating with individuals convicted of sex offenses. This role requires excellent communication skills a high level of professionalism and strong attention to detail.

Key Responsibilities:
  • Manage incoming phone calls from attorneys clients and convicted individuals with professionalism tact and confidentiality.

  • Assign new cases to attorneys in accordance with established guidelines.

  • Draft and send official correspondence via mail and email to legal professionals clients and external stakeholders.

  • Provide general administrative support including:

    • Word processing and data entry

    • Scanning copying and redacting legal documents

    • Organizing filing and preparing case materials

    • Assembling documents for mailing and electronic distribution

  • Review and process legal documents that may include explicit or sensitive material.

  • Maintain confidentiality at all times and exercise sound judgment when handling sensitive case information.

Required Qualifications:
  • Proficiency in Microsoft Office Suite (Word Excel Outlook).

  • Prior experience managing a reception desk or handling high-volume phone calls.

  • Strong organizational skills and the ability to manage multiple tasks simultaneously.

  • Proven ability to handle confidential information with discretion.

  • Comfortable interacting with clients convicted of sex offenses in a professional setting.

Preferred Qualifications:
  • Previous experience in a legal court or government office environment.

  • Familiarity with legal terminology and administrative legal procedures.

  • Experience with electronic file management systems and document redaction tools.
