Job Description
The Executive Assistant (NE) position at Thermo Fisher Scientific Inc. offers an outstanding opportunity to support various group leaders in the Specialty Diagnostics Group based in Carlsbad. The ideal candidate will excel at providing comprehensive administrative support coordinating meetings special projects and executive initiatives. This role is perfect for someone who is resourceful passionate about improving efficiency and possesses excellent organizational skills with the agility to adapt to changing priorities.
Responsibilities:
- Maintain and manage multiple executive calendars including recurring meetings prioritizing appropriately and using good judgment to offer solutions for complex scheduling and meeting planning.
- Serve as the primary interface for designated executives and the SDG leadership team to ensure smooth workflows. Interface professionally with key leaders customers and colleagues.
- Proactively manage communication including emails and phone calls. Screen inquiries communicate messages redirect calls and respond to urgent inquiries from the corporate office and global site offices across various time zones.
- Coordinate complex global travel activities including multistop travel arrangements accommodations and local transportation. Anticipate potential travel issues and respond accordingly.
- Schedule and coordinate complex meetings including attendee communications venue management audio/video setup catering and material preparation for events such as leadership events customer visits and team meetings.
- Serve as an information source and advisor on departmental and organizational policies and procedures.
- Track and drive the completion of key deliverables follow up on outstanding items and facilitate contract renewals of executive memberships and approvals.
- Uphold strict confidentiality and handle highly confidential information and documents with discretion.
- Provide innovative methods for continuous improvement to practices or processes.
- Collaborate as a team member of the SDG Administrative team to ensure continuity during breaks vacations or highvolume periods.
Minimum Requirements:
- 5 years of administrative experience in a fastpaced environment preferred
- Proven ability to handle confidential information with discretion and good judgment.
- Experience in identifying analyzing and solving problems creatively and successfully.
- Proficiency in Microsoft Office products including Word Excel PowerPoint and Outlook with the ability to learn companyspecific software tools.
- Previous success in building strong organizational relationships in a global environment and encouraging teamwork.
- Outstanding written and verbal communication skills.
- Ability to interact successfully with varying levels inside and outside the organization.
- Adaptive and flexible work style effective across varied types of clients senior leaders and colleagues.
- Proficiency in crafting presentations and completing tasks in Excel including pivot tables and formulas.
- Ability to prioritize effectively in environments with multiple simultaneous demands.
- High school diploma or equivalent experience required; Associates degree or equivalent experience preferred.
Compensation and Benefits
The hourly pay range estimated for this position based in California is $31.72$47.60.
