How will you CONTRIBUTE and GROW
Job Description Summary: The Office Support Coordinator is responsible for providing highlevel and complex clerical and administrative support. The role also requires answering telephone calls and electronic inquiries responding to internal and external correspondence coordinating and executing multiple projects and maintaining professionalism while disseminating information in a clear and concise manner while maintaining confidentiality.
Handle large volumes of calendar scheduling and management with the ability to handle and adhere to last minute schedule modifications.
Schedule coordinate and set up highlevel meetings and teleconferences (both internally and externally)Including organizing catering coordinating AV support and assembling all required meeting material for presentations and training.
Work closely with the Logistics and Supply Chain management teams to provide administrative support as needed.
Support business unit based goals assist in special projects on local regional and national levels that contribute to the success of the organization while adhering to Airgas safety standards policies and or practices at all times.
Serve as principal contact for the coordination and administrative set up for new associates order supplies ensure system access and initiate appropriate follow up as needed.
Maintain and regularly update business unit organizational chart
Consolidate data and edit documents for accuracy regularly develop spreadsheets and reports and suggest improvements to increase efficiency and improve communication of departmental and functional information.
Draft prepare and distribute communications as related to the Supply Chain and Logistics business unit.
Act in a professional manner and while disseminating information in a clear and concise manner while maintaining confidentiality as required.
Must possess the ability to coordinate and execute multiple projects while working effectively with interruptions.
Required Qualifications
High School Diploma or equivalent
3 years prior administrative support experience
Extensive knowledge of spreadsheets; Microsoft Excel (Google Sheets preferred) including ability to generate reports by using pivot tables and vertical lookups
Must be able to handle sensitive and confidential situations and information
Preferred Qualifications
Associates degree preferred
Previous gas industry and/or sales experience
SAP experience preferred
An interest in distribution logistics or fleet services a plus
