Job Description

Under minimal supervision this position is responsible for leading and managing the overall strategy and daily operations of the distribution center. The position ensures the efficient handling and delivery of all internal and external mail as well as incoming and outgoing parcels shipments and cargo from various carriers while delivering exceptional customer service to all members of the university community.

Position Specific Accountabilities

  • Manage coordinate and oversee the operations of the Distribution Center including Mail Services Bulk Mail the University Hall mail facility campus mailboxes and Shipping/Receiving. Ensure the efficient and timely handling of all U.S. mail intracampus correspondence courier and parcel deliveries as well as forwarding services. Additionally develop implement and maintain policies and procedures to ensure the Distribution Center operates effectively and aligns with institutional standards. 20

  • Oversee the training programs for staff and student workers ensuring comprehensive instruction on internal policies and procedures USPS Rules and Regulations and courier or common carrier processes. This includes fostering the professional development of all Distribution Center supervisors staff and student workers to enhance their skills and performance. 20

  • Develop and maintain the Distribution Centers operational and capital budgets as well as its daily weekly and monthly accounting processes. Manage and coordinate all accounting functions to ensure accurate and timely billing chargebacks and payment processing maintaining financial integrity across operations. 15

  • Actively participate in professional organizations related to USPS Mail Services and Distribution Center activities. 10

  • Engage regularly with the university community to provide training and meetings on the proper procedures and policies of the Distribution Center USPS and other common carriers. Actively promote and enhance the Distribution Centers services to meet evolving needs. Collaborate with the Recycling Center to coordinate the recycling of resources from the Distribution Center in alignment with sustainability initiatives. 10

  • Manage and coordinate all student mailbox assignments and university mail stops 5.

  • Manage all Distribution Center equipment maintenance including but not limited to allocating equipment carts forklift van and all other miscellaneous equipment utilized in the Distribution Center. Establish all asset security procedures to ensure high value items are controlled maintained and properly accounted for. 20

  • Represent LMU within the community and at professional organizations or associations; serve on committees as required.

  • Perform other duties as assigned or requested.

Requisite Qualifications

  • Typically a bachelors degree or equivalent in Business Administration or Management or related field. Incumbent will be expected to continue upgrading knowledge skills and abilities needed to keep abreast of regulation/policy changes

  • A minimum of 5 years relevant distribution experience.

  • Proven experience in managing and leading teams including the ability to supervise motivate and develop team members to achieve organizational goals. Demonstrated success in fostering collaboration resolving conflicts and maintaining a positive and productive work environment.

  • Demonstrated knowledge and understanding of postal rules and regulations regarding sorting preparation and dispatch of bulk mail; preparation and submission of U.S. Post Office permits and forms required for each mailing. Knowledge of the operation daily maintenance and programming of standard mail processing equipment (Quadient or Pitney Bowes) mail inserting software and tracking systems and databases for accountable parcels.

  • Ability to manage highvolume mail and product distribution operations with the capacity to assess the entire workflow and make swift informed decisions to ensure optimal performance at all times. Capable of providing clear and effective guidance to staff to achieve the Distribution Centers objectives while maintaining the flexibility to offer handson support whenever necessary to meet goals.

  • Must be proficient with a computer and able to effectively navigate using Outlook Word and Excel.

  • Exemplary communication skills (both written and oral understand and follow oral and written directions and effectively express ideas suggestions and recommendations both orally and in writing

  • Proven ability to manage multiple conflicting priorities at one time and exceptional organizational skills

Reasonable Expected Salary $66600.00 $91000. Salary offer is commensurate with education and experience.
