Job Summary:The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls emails and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles PCard/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers copiers fax machines etc.
Additional Department Summary:Provides administrative and operational support for the College of Engineerings Center for Advanced Public Safety (CAPS) Research Center Director and staff to ensure smooth operations within CAPS. Oversees general office administrative and secretarial duties with some variety and complexity. Coordinates the Center Directors calendar organizes meetings and events processes purchasing paperwork and works with a variety of software to assist with daily operations.
Required Minimum Qualifications:High school diploma or GED and two 2 years of administrative experience; OR associates degree or higher.
Skills and Knowledge:Exceptional written and verbal communication skills. Ability to efficiently and effectively organize work processes and time. Proficient computer skills to include word processing spreadsheets and records management applications. Ability to work effectively in a technical team environment. Ability to manage all administrative and operational matters in an office environment that has staff working inperson and virtually. Ability to work independently and exercise discretion and judgement to support CAPS in meeting the Centers strategic goals.
Preferred Qualifications:Accounting skills. Experience at a university. Advanced knowledge of UA administrative software applications such as Concur BuyBama Banner TouchNet MyEverest etc.
