The Event Administrative Coordinator will oversee all aspects of trade show coordination including vendor relationship management administrative duties and event planning support. This role primarily involves managing Scanlans participation in over 80 domestic and international trade shows annually.
POSITION RESPONSIBILITIES
60 Trade Show Management:
Coordinate paperwork registration and orders for materials and services ensuring deadlines are met.
Collaborate with the Marketing Communications Department to complete product listings.
Work with Product Managers and/or attendees to ensure demo cases or display materials are available.
15 Trade Show Shipments Inventory and Logs:
Oversee logistics with the Sales Coordinator for material preparation shipment booth condition monitoring inventory and storage.
Maintain comprehensive logs of all trade show inventory.
Collaborate with the Marketing Communications Department to develop and produce display materials.
10 Hotel and Transportation Coordination:
Arrange hotel and transportation logistics for trade shows.
5 Event Planning Support:
Assist with planning and executing four major company events annually.
5 Reporting and Calendar Management:
Assist with budget expense and postshow reporting.
Maintain a shared calendar for events and trade shows.
5 Sales Training Logistics:
Support logistics for sales training as needed.
Travel requirements: one to three domestic trade shows and one international trade show per year to assist with booth setup and any hospitality events/sales meetings
QUALIFICATIONS:
Education:
High School Diploma or GED required; 2 or 4 years degree in communications public relations or hospitality preferred
Experience:
3 years of administrative scheduling or meeting/event planning in a corporate setting
Skills
Excellent organizational and multitasking abilities
Strong communication and interpersonal skills
Ability to work under pressure and meet tight deadlines simultaneously
Proficiency in MS Office products (Word Excel Outlook) with the ability to learn new software
Physical requirements:
This position is based out of our headquarters office south of downtown St. Paul. We welcome an onsite work environment Monday through Friday.
The hours for this position are 8:00am 4:30pm.
The pay range for this role is $50800 $81300 annually.
