Job Description

Marion County requires onsite work. Remote work is not available.

The mission of the District Attorneys Office is to seek justice through:

  • Promoting accountability for criminal offenders.
  • Interpreting enforcing and executing law.
  • Responding to the concerns of victims and the public; and
  • Working cooperatively with members of the justice system.

GENERAL STATEMENT OF DUTIES
Independently performs a variety of responsible administrative legal support activities according to established practice and procedures.

SUPERVISION RECEIVED
Works under the supervision of a Legal Assistant Supervisor who assigns work sets goals and reviews work for accuracy completeness and compliance with department policies and goals.

SUPERVISION EXERCISED
Supervision of employees is not a responsibility of positions in this classification.

Typical Duties Duties include but are not limited to the following

  • Preload recordation equipment with daily Grand Jury cases.

  • Prepare Discovery for Grand Jury Recordation process which could be in electronic or in hard copy form.

  • Efile indictments.

  • Bates stamp documents and prepare electronic discovery and upload to E prosecutor portal.

  • Perform other Discovery duties i.e..: Process evidence requests and download digital evidence which includes copying CDs Blurays and other forms of media.

  • Monitor discovery tasks. discovery email and process requests.

  • Reset defense attorney access and troubleshoot eDiscovery portal questions.

  • Notifies defense attorneys of additional materials and answers telephone inquiries.

  • Process additional discovery by scanning in reports/documents bate stamping and preparing electronic discovery packets.

  • Operate office machinery including copy machine Bluray/CD copier VCR copier telephone computer and scanner.

  • Update all court actions case status court events assignments and all other necessary information daily.

  • Compare court events and notes with eCourts and make edits as needed.

  • Close out cases in system by comparing information from eCourts and Judgments.

  • Send copies of Judgments to agencies when evidence is seized/forfeited.

  • Miscellaneous tasks to support team such as scanning generating documents efiling adding witnesses/people to cases filing processing mail et.

  • Crosstrain and backup/provide support to Grand Jury Legal 1 Reception and Intake.

  • Takes requests and order files.

  • Types letters or other correspondence.

  • Files/pulls warrants.

  • Special projects and or other duties as assigned.

Requirements for the Position

EXPERIENCE AND TRAINING
  1. High school diploma or equivalent; AND
  2. Two years of experience in office and secretarial work; OR
  3. Any satisfactory combination of work education training or experience relevant to the position as determined by Marion County.

PREFERENCS
  • Supplemental secretarial training courses
SPECIAL REQUIREMENTS
  1. This position requires possession of or obtain within 30 days of hire Law Enforcement Data System (LEDS) certification.
  2. Must pass a criminal history background investigation which includes fingerprinting; however conviction of a crime may not necessarily disqualify an individual for this classification.
  3. This is a safety sensitive/special needs position. Final candidates selected for this position will be required to pass a preemployment drug screen including testing for . The Marion County Drug and Alcohol Use and Testing Policy can be found at: assignment is represented by a union.
  4. This is a fulltime position which is eligible for overtime.
  5. Typical Work Schedule: Monday through Friday 8:00 am 5:00 pm with flexibility depending upon the needs of the department and program.

KNOWLEDGE SKILL AND ABILITIES
Knowledge of modern office practices procedures and techniques; English composition spelling and grammar; arithmetic and general record/bookkeeping practices; modern office equipment and machinery and their intended use; a variety of computer systems and software.

Skill and abilities to accurately and effectively perform the various assigned tasks and duties following general procedures and program policies; meet and assist the general public and staff in a courteous and professional manner; use tact and judgment in dealing with the public concerning sensitive and confidential matters; understand and effectively follow oral and written instructions communications and procedures; apply newly assigned procedures and practices to specific work assignments; type accurately and at an acceptable rate of speed; access and use various computer systems and software; make decisions independently in accordance with established policies; provide backup to other positions as needed.

PHYSICAL REQUIREMENTS
Sits for extended periods of time; stands; moves about the work area; talking and walking; bends; grasps; climbs stairs; lifts up to 10 lbs.; keyboard operation; hears up to 10 feet away; sees up to 10 feet away; rapidmental/hand/eye coordination; speaks in clear and audible voice; reads at 12point font; depth perception; ability to hear at a whispered level; exercises independent judgement and action; provides customer service; decision making; uses discretion; interpersonal skills; basic math skills; problem analysis; teamwork and training.

PUBLIC SERVICE LOAN FORGIVENESS
Marion County is a qualifying public employer for the Public Service Loan Forgiveness Program. Through the Public Service Loan Forgiveness Program fulltime employees working at the County may qualify for forgiveness of the remaining balance on Direct Loans after 120 qualifying monthly payments under a qualifying repayment plan. Questions about your loan eligibility should be directed to your loan servicer or the US Department of Education.

VISA SPONSORSHIP
Marion County does not offer VISA sponsorship. Within three days of hireyou will be required to complete the US Department of Homeland Securitys I9 form confirming authorization to work in the United States.
