Key job responsibilities
Reporting directly to the Leadership Kuiper Regulatory the Executive Assistant (EA) provides highlevel administrative support to ensure Regulatory leadership can efficiently accomplish company initiatives and goals. The EA serves as the primary point of contact for all internal and external administrative matters pertaining to the Regulatory business. The Executive Assistant also serves as a direct liaison to the leadership team; plans coordinates and facilitates the details of executive internal and external meetings; and oversees special projects as directed.
The EA must be creative organized detailoriented exercise good judgment have strong written verbal and administrative skills. The EA must be able to work in a highstress dynamic complex work environment and balance multiple priorities. The EA will have the ability to work independently on projects from conception to completion and must be able to work under pressure to handle a wide variety of tasks assignments and confidential matters with discretion. The EA must demonstrate a strong bias for action by handling administrative matters expeditiously proactively and professionally to ensure successful completion of assigned projects and tasks.
Roles and Responsibilities
The EA completes a broad variety of administrative tasks including:
Managing a very active and fluid calendar of appointments; meticulous attention to detail in scheduling coordinating and planning internal meetings agendas and appointments; planning detailed domestic and international travel writing itineraries arranging pointtopoint transportation; compiling documents for travelrelated meetings; completing expense reports
Planning the executives daily weekly and monthly schedule of events
Planning managing and executing ongoing key team activities (staff meetings allhands meetings training offsites town halls skip levels morale events)
Composing and preparing business correspondence; keeping the executives communications organized to filter low priority items and focus on important information
Serving as the gatekeeper to the executive office screening and prioritizing appointments/meeting requests while always providing polite and professional service
Communicating on behalf of the senior executive directly with the leadership team and other stakeholders across the organization
Training other administrative staff on company policies and best practices
Have fun at work and help others do the same

A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior leaders and engineers inside the company is important as is a good sense of humor.
The successful candidate will possess the ability to complete complex tasks and projects quickly with minimal guidance react with appropriate urgency to situations that require a quick turnaround and take effective action with ambiguity and show grace under pressure.
5 years of experience supporting senior level leadership (calendar management meeting coordination travel coordination event planning etc.
3 years of Project Management/Project Coordination Experience (goal & project tracking reporting space planning budgeting process improvement etc.
3 years of experience with advanced use of the Microsoft Office Suite (Outlook Excel OneNote PowerPoint and Word)
3 years of experience as a Executive assistant
An Associates or Bachelors degree in Business Administration Communications or related field
Organizational Skills: The ability to manage and prioritize multiple tasks and assignments effectively
Communication Skills: Excellent verbal and written communication skills
Strong interpersonal skills are vital for building positive relationships with various stakeholders including executives team members clients and external partners
Collaboration: The ability to work well in a team and collaborate with other support staff and departments
Experience with domestic or international travel coordination
Experience with Government policies and procedures for executive level visits
