Job Description

Job Description

SUMMARY:

Reporting to the Assistant Vice President for Budget and Planning the Budget and Planning Coordinator performs a range of duties to support division related work and budget management. This position involves interaction with a diverse range of personnel within the division and external partners. The Budget and Planning Coordinator also carries out professional and administrative tasks in accordance with established policies procedures precedents and guidelines.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Manage the daily inflow of items in the Budget Office Workday queue and coordinate responses to pending items.

  • Act as the main point of contact for external inquiries directed to the Budget Office ensuring they are forwarded to the appropriate staff members.

  • Approve a variety of routine operating budget amendments carryforward amendments capital amendments for IT and Communications & Marketing projects and position budget amendments and escalate nonroutine amendments to the AVP or other Budget Office staff.

  • Assist in maintaining the Adaptive budget systems via weekly imports of personnel and financial data and process new Adaptive user setups.

  • Keep the Budget Office website updated with current contact information related policies and procedural documents.

  • Assist in the annual State Budget Submission by compiling the required organizational charts and assembling the final submission packet.

  • Perform administrative duties related to search committees including scheduling interviews and surveys.

  • Support other members on the Budget Office team with administrative matters including scheduling meetings locating outside data sources researching peer institution policies and procedures procuring office supplies etc.

  • Ensure confidentiality in all matters and interactions with both internal and external constituents

  • Performs other related duties as assigned.

  • Management retains the right to change or add job duties at any time.

QUALIFICATIONS:

REQUIRED:

  • Bachelors degree from an accredited college or university.

  • Minimum two 2 years of professional administrative experience in accounting budget management administrative leadership or related field.

  • Experience adhering to deadlines working collaboratively within a team environment and independently.

  • Proficiency with Microsoft Office (Excel Word and PowerPoint) and the Google suite of applications.

  • Excellent interpersonal organizational and time management skills with attention to detail and timeliness.

PREFERRED:

  • Familiarity with financial systems such as Workday and Adaptive Insights.

  • Advanced Excel skills.

  • Experience working in a higher education environment.

*NOTE: This is a Civil Service position. As required by the State of New Jersey in order to be certified to the position and attain permanent status in title candidates are required to successfully serve a 4Month Working Test Period.

SALARY RANGE: P21: $62164.36 $88099.21 *NOTE: Salaries for internal candidates are determined by the New Jersey Civil Service Commissions formula. Salaries for external candidates are determined up to step four $70779.31.
