Job Description

We are seeking a highly organized and detailoriented Bid Coordinator to join our dynamic team in our Melbourne office. In this role you will assist in the coordination and preparation of bid submissions ensuring accuracy and compliance with client requirements. The successful candidate will have a keen eye for detail excellent communication skills and the ability to work collaboratively with multiple stakeholders.

Responsibilities:

  • Bid Submission Coordination: Assist in the coordination and preparation of bid submissions ensuring all client requirements are met with accuracy and compliance.
  • Timeline Support: Support bid timelines tracking deadlines and ensuring all milestones are achieved.
  • Collaboration: Work closely with business development sales and key stakeholders to compile and format tender content.
  • Document Management: Maintain bid templates bid library and style guides to ensure consistency and efficiency across submissions.
  • Proofreading & Editing: Proofread and edited bid documents to ensure clarity accuracy and professionalism.
  • Document Formatting: Coordinate document layout and production ensuring visually appealing and wellstructured submissions.
  • PostBid Reviews: Assist in postbid reviews and analysis to enhance future bid processes.
  • CRM Maintenance: Maintain CRM (Hubspot) and other business development tools ensuring transparency in activity and customer profiles.
  • Industry Awareness: Stay updated on industry trends best practices and regulatory changes that impact bid production.
  • Inclusive Workplace: Promote a harmonious and inclusive workplace free from discrimination harassment and bullying.
  • Continuous Improvement: Contribute to fostering a culture of continuous improvement across the team and organization.

Qualifications :

  • Bachelors degree in business Marketing Communications or a related field.
  • Minimum of 3 years experience in bid coordination proposal writing or a similar role.
  • Strong organisational and timemanagement skills with the ability to handle multiple projects simultaneously.
  • Excellent writing editing and communication skills.
  • Proficiency in Microsoft Office Suite Adobe Acrobat and proposal management software.
  • Attention to detail and ability to work under tight deadlines.
  • Strong collaboration and stakeholder management skills.
  • Understanding of bid production processes and industryspecific requirements.
  • Familiarity with graphic design and document layout tools.
  • Ability to work independently and collaboratively in a fastpaced environment.
  • Proven ability to maintain a high degree of accuracy in a highpressure deadlinedriven environment.
  • Welldeveloped time management skills.

Requirements:

  • You must have full work rights within Australia
  • A current clear Police Check
