Job Title: Administrative Assistant to Senior Financial Advisor East Hills NYEntry Level

Job Summary: The Administrative Assistant will provide administrative support to the Senior Financial Advisor ensuring smooth and efficient operations within the advisory team. This role requires a proactive detailoriented and organized individual who can handle multiple tasks in a fastpaced environment while maintaining a high level of professionalism and confidentiality.

Key Responsibilities:

  1. Administrative Support:
    • Manage the Senior Financial Advisors calendar including scheduling appointments.
    • Prepare and organize meeting materials reports and presentations.
    • Handle incoming calls emails and correspondence responding promptly and professionally.
  2. Client Service:
    • Assist with client onboarding including gathering necessary documentation and preparing client files.
    • Maintain client records in accordance with compliance and regulatory standards.
    • Serve as a point of contact for clients addressing inquiries and providing exceptional service. Reaching out to the client for additional items needed.
  3. Financial Data Management:
    • Assist with data entry and management of client information in financial software systems.
    • Help prepare financial documents including statements reports and investment summaries.
  4. Compliance and Regulatory Support:
    • Ensure all client communications and documentation comply with industry regulations and company policies. Maintain organized and uptodate client and office files electronically.
    • Assist with audits and compliance reviews as necessary.

Qualifications:

  • Bachelors degree preferred.
  • Experience in an administrative role preferably within the financial services industry.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
  • Strong organizational skills with a keen attention to detail.
  • Excellent written and verbal communication skills.
  • Hourly salary range: $20$25 an hour depending on experience
  • 40hour work week in the Office.
