Job Description

ROLE SUMMARY
This Administrative Assistant role will be responsible for providing administrative support to US Specialty Care medical team as well as leading/supporting several projects and initiatives. It will also serve as a functional lead across all administrative assistants in Specialty Care Medical making sure projects and activities will be properly coordinated across the teams.

ROLE RESPONSIBILITIES

Specific responsibilities of the role include but are not limited to:

  • Provide administrative support to the VP US Specialty Care Medical Lead and other Medical LT members including complex calendar management travel and expense report support.

  • Collaborate with the US Specialty Care Medical Operational & Change Excellence Lead on any administrative and/or logistical needs for the optimal operation of the team

  • Schedule and coordinate team meetings 1:1s department meetings and meeting management/logistics

  • Ability to anticipate and proactively resolve conflicts and use diplomacy to resolve problems.

  • Provide support for various medical team meetings attend as requested agenda development and distribution meeting material coordination and distribution presentations/WebEx management during the meeting notetaking and meeting summary distribution.

  • Work closely with outside vendors providing support when needed with meeting scheduling and office space.

  • Manage Purchase Orders thru the Ariba system also tracking payment of invoices as requested

  • Lead or support different medical optional projects and initiatives

  • Handle confidential matters on a regular basis.

  • Coordinate and provide key information to other business units as requested and as appropriate.

  • Manage document resources on Share Point site.

  • Manage SC Medical Teams Channel

  • Support project management and KOL engagement

  • Assist with onboarding of new colleagues

  • Update team organizational charts and distribution lists

  • Coordinate activities for complex meeting and events including ordering food and AV equipment managing/setting up AV equipment onsite and handling issues for offsite meetings.

  • Work closely with the administrative assistants with regard to coverage within the group; facilitate the overseeing of the Assistants and manage workflow.


BASIC QUALIFICATIONS

  • Undergraduate degree (BS/BA) or equivalent experience.

  • 4 years of experience as an administrative assistant or coordinator including at least 2 years in the pharmaceutical industry. Experience with Pfizer is preferred.

  • Ability to work effectively in a teambased environment and partner with internal/external stakeholders

  • Selfstarter proactive solution seeking attitude anticipating team needs and actively identifying opportunities to strengthen results

  • Strong verbal and written communication skills ability to mobilize team members and engage leadership

  • Demonstrated project management experience

  • Business acumen Decision marking and demonstrated flexibility

  • Ability to navigate internal organization/processes

  • Excellent judgment as well as the ability to work with extremely confidential documents information and excellent followup skills.

  • Strong working knowledge of Word Excel and Outlook; in addition to Pfizer applications such as ePAY3 Ariba Share Point & Box.

  • Ability and willingness to handle special projects.

  • Availability to work flexible hours (early AM overtime etc. when needed but not likely to be frequent

The salary for this position ranges from $32.47 to $54.11 per hour. In addition this position offers eligibility for overtime weekend holiday and other pay premiums depending on the work schedule and the Companys policies.
