POSITION SUMMARY:

The Accounts Payable (AP) Specialist plays a key role in ensuring efficient and accurate accounts payable operations with a strong focus on supplier maintenance credit card management and compliance with IRS regulations. This position is responsible for vetting supplier data managing supplier bank setups ensuring 1099 compliance and electronic filings and overseeing the corporate credit card program. The AP Specialist must apply best practices in supplier management while adhering to CFF policies and providing guidance to both internal stakeholders and suppliers. All responsibilities should be executed with professionalism accuracy and a commitment to excellent customer service. This is a hybrid role based in Bethesda MD and requires 23 days per week in the Bethesda office.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Monitor the supplier request email inbox ensuring timely updates and maintenance of supplier records in the financial system.

  • Review and verify W9 forms W8 forms banking set up forms confirm Tax ID numbers on the IRS website and validate EFT details in the financial system.

  • Perform international wire verification through callbacks to foreign suppliers.

  • Ensure supplier bank setups comply with internal controls and industry best practices.

  • Process daily supplier setups updates and external committee member (ECM) records within the financial ERP system.

  • Maintain transaction timelines aligned with department service level agreements (SLAs).

  • Work closely with headquarters (HQ) business agents field operations specialists and suppliers to resolve discrepancies or obtain missing information.

  • Review the supplier reports and assist with the review and scrub of the supplier database on a regular cadence to ensure compliance and for fraud mitigation.

  • Manage the corporate credit card program ensuring compliance with company policies and procedures.

  • Address credit card requests inquiries and issues in a timely and professional manner.

  • Utilize credit card management portals to process new card requests limit adjustments cancellations and replacements.

  • Assist with monthly reconciliations and resolve discrepancies related to credit card transactions.

  • Generate and analyze credit card reports identifying trends or potential compliance concerns.

  • Provide guidance to employees on proper credit card usage and expense reporting procedures.

  • Serve as a point of contact for supplier and credit cardrelated inquiries providing clear and timely responses to internal stakeholders and external vendors.

  • Maintain professionalism and a high level of customer service in all interactions.

  • Ensure accuracy and compliance in all APrelated tasks.

  • Maintain a high level of confidentiality when handling sensitive financial and supplier data.

  • Perform additional duties as assigned.

KNOWLEDGE SKILLS AND ABILITIES REQUIRED:

  • Bachelors degree or equivalent years of relevant experience required.

  • Minimum of 2 years of experience in AP processing including supplier setup and compliance.

  • Strong attention to detail ability to multitask and time management skills in a fastpaced highvolume environment.

  • Experience with financial systems (ERP) with Workday experience preferred.

  • Proficiency in Microsoft Office (Excel Word Outlook Teams PowerPoint) and Adobe Acrobat.

  • Understanding of IRS forms W9 W8 1099MISC and 1099NEC.

  • Familiarity with domestic and international supplier banking processes.

  • Experience working with credit card management portals and processing credit cardrelated requests.

  • Ability to reconcile credit card transactions and generate financial reports.

  • Strong verbal and written communication skills.

  • Ability to work independently and collaboratively while maintaining a positive and professional demeanor.

  • Reliable and consistent work ethic with a strong sense of responsibility.

  • Commitment to following organizational policies and safeguarding sensitive data.

REPORTING RELATIONSHIPS:

  • Reports to the Accounts Payable Manager. No direct reports.

WORKING CONDITIONS:

  • Normal office environment (remote and inoffice) with little exposure to excessive noise dust and temperature.

  • No heavy lifting required.

  • Minimal travel (e.g. 2x/yr. to conferences and meetings as necessary.

The hourly range is $30.22 to $36.87. Specific hourly range varies based on geographic location and is commensurate with experience.
