About the Position:
The Office of Research and Sponsored Projects (ORSP) collaborates with various campus units to secure external support for faculty research scholarship creative activity and institutional projects that align with the Universitys educational and service mission of the university. The ORSP specializes in assisting with proposal preparation review and submission to external funding agencies ensuring compliance with agency requirements leading the compliance review of grant awards and issuing reviewing and negotiating contracts subcontracts and related agreements. We seek an exceptional individual to join our team as the Grants and Contracts Coordinator (Administrative Support Coordinator I). The ideal candidate in this role should have a positive attitude and an active energetic mind characterized by highly ethical practices and a commitment to diversity openness flexibility integrity and kindness.
The Coordinator supports the collection and compilation of necessary information for proposals submitted by the Office of Grants and Contracts ensuring all required compliance forms and documentation are gathered before submission deadlines. Also coordinates the transmittal of award documents for acceptance by the CSU Fullerton Auxiliary Services Corporation (ASC) and maintains the departments submissions and awards database. Assists the Associate Director in preparing monthly reports including the submissions report notice of new awards report and award transmittals. Monitors and coordinates Cayuse approvals for proposal submissions daily collaborating closely with Officers to secure campus approvals before submission deadlines. Handles travel arrangements and approvals for Grants and Contracts staff including preparing travel expense reimbursements. Completes and compiles monthly purchasing credit card reconciliation documentation for the Associate Director. Provides logistical support for meetings special events and workshops hosted by the unit. Works closely with student assistants to document office procedures and recommend appropriate tools and training. Other duties as assigned.
Essential Qualifications
High School diploma or the equivalent and four years of progressively responsible experience in general office clerical or secretarial work or the equivalent. Thorough detailed knowledge of applicable university infrastructure policies and procedures. Thorough knowledge of English grammar punctuation and spelling. Thorough knowledge of office systems with the ability to use a range of technology systems and software packages. Ability to independently handle multiple work unit priorities and projects. Ability to apply a variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures. Ability to perform standard business math including calculating ratios and percentages tracking financial data and making simple projections. Ability to draft and compose correspondence and standard reports. Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.
A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment which may be rescinded if the background check reveals disqualifying information and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.
Preferred Qualifications
Bachelors degree from an accredited college or university. Experience using File Maker Pro and/or Smartsheet. Experience in a Grants and Contracts/Sponsored Programs office preferably in a higher education environment.
