About the job

Were looking for an experienced Executive Assistant to support our Executive Group Director Sustainability and Corporate Affairs along with three senior leaders one of whom leads Corporate Affairs and will require a greater level of daytoday support. This is a hightrust highimpact role for someone whos confident working independently can adapt quickly to changing priorities and enjoys streamlining processes and improving how things get done.

This position can be based in either Melbourne Sydney or Brisbane. While flexible work is part of our culture inoffice presence will be required 23 days each week.

What youll do

  • Work in an autonomous environment dealing with confidential and sensitive information.
  • Represent Worleys executives in a professional and helpful manner.
  • Manage calendars and inboxes with care and foresight helping to prioritise time and reduce duplication.
  • Be a key contact for the Executive Group Director acting as a gobetween and gatekeeper when needed.
  • Provide agile responsive support to Executives often in a fastmoving and reactive environment.
  • Coordinate meetings workshops and events internally and externally ensuring every detail is covered.
  • Arrange complex domestic and international travel including accommodation visas hire cars and navigating regional regulations.
  • Manage expense reconciliation timecard creation and processing supplier tax invoices.
  • Prepare and format reports correspondence presentations agendas and minutes in line with brand and confidentiality standards.
  • Track and record leadership activities in assurance systems and support with reporting for the Office of the CEO.
  • Maintain uptodate organisational charts and ensure documents are stored securely.
  • Oversee the Sustainability teams internal site keeping content relevant and well organised.
  • Take the lead in improving systems and automating administrative processes to create efficiency across the board.
  • Provide administrative support to the Worley Foundation Chair and Committee members each year with funds granted to charities globally including email correspondence to support process setting up of vendors in accounts payable system and processing of tax invoices filing of tax invoices charity information and email correspondence.

What youll have

  • 810 years of experience in a senior Executive Assistant role ideally within a similar industry or global business environment.
  • A proactive solutionsfocused mindset youre someone who anticipates needs and acts without being asked.
  • Strong attention to detail and the ability to manage multiple moving parts with confidence and calm.
  • High proficiency in the Microsoft Office Suite and a comfort level with using digital tools and platforms.
  • Strong written and verbal communication skills clear professional and able to represent leaders internally and externally.
  • A reputation for discretion reliability and being someone others can rely on.
  • An interest in continuous improvement with a natural drive to find better more efficient ways to get things done.
