The University of Tennessees Career Gateway is looking to fill the temporary assignment of HR Specialist with Facilities Services. Through temporary assignment placements Career Gateway allows the opportunity to work with various departments while gaining valuable work experience. Each assignment has differing pay rates work schedules and lengths of assignments. The length of assignments is subject to change. The position occupant assists Facilities Services HR personnel in providing staffing services for over 675 employees. The position occupant may assist in the preparation of reports on staffing levels career path progression and eligibility employee certification requirements and eligibility employee leave balances and payroll expenditures for the FS Division Directors and employees planning purposes. This role will assist with maintaining departmental personnel records ensuring confidentiality and discretion in all interactions.



Responsibilities
  • Assists with specialized administrative duties accomplishing and coordinating the Human Resources (HR) and timekeeping functions on behalf of the FS Department directors supervisors and over 675 staff personnel.
  • Performs staffing services for employees to include coordinating performance review evaluations accomplishing position personnel changes leave applications promotions and other personnel actions as required.
  • Will assist with employee onboarding and providing policy information to new employees
  • Position occupant prepares or assists in developing reports on staffing levels career path progression and eligibility employee certification requirements and eligibility employee leave balances and payroll expenditures for the FS Departmental and employee planning purposes.
  • Will assist in the maintenance of departmental personnel and payroll records
  • Maintains confidentiality and discretion; positively represents the FS Department by ensuring a professional and cordial working atmosphere
  • Assists with processing biweekly timekeeping reports as necessary
  • Process leave balance requests leave of absence paid parental leave and Family Medical leave.
  • Assist supervisors and workers with questions and concerns about pay and leave with the guidance of FS HR personnel

Qualifications

Education: High school diploma or GED

Experience: One 1 year of office experience

Other Qualifications:

  • Excellent interpersonal and listening skills and the ability to calmly manage stressful situations.
  • Proven ability to be equitable confidential and consistent in applying policy.
  • Must be flexible and adaptive to changes in the work environment and be able to work harmoniously and maintain effective working relationships internal and external to the FS Department and present a highly professional presence as a representative of the FS Department.
  • Excellent organizational skills.
  • Must be a detailoriented person.
  • Proficient in Microsoft Office (Word Excel Outlook).
  • Selfmotivated with the ability to take initiative and move ahead without constant supervision.
  • Valid Drivers license
