Job Description

The Admin Assistant plays a vital role in ensuring the smooth and efficient functioning of the office. This position provides essential administrative and operational support to staff and management while maintaining an organized clean and welcoming office environment.

Tasks

Key Duties and Responsibilities

  • Manage front-desk operations including handling a busy multiline phone system greeting visitors managing incoming and outgoing mail and shipments and maintaining a tidy and organized office space.
  • Provide administrative support to senior leaders by managing email correspondence preparing and distributing memos letters spreadsheets forms and faxes.
  • Plan organize and schedule company meetings whether onsite offsite or via videoconference ensuring all logistics are handled smoothly.
  • Coordinate domestic and international travel arrangements for employees including booking flights accommodations and transportation.
  • Order and manage office supplies and coordinate food deliveries for group meetings and events.
  • Organize and maintain both physical and electronic filing systems databases and records to ensure easy retrieval and compliance.
  • Schedule and coordinate team meetings and events prepare agendas and take accurate minutes for documentation.
  • Assist with basic bookkeeping tasks such as expense reporting invoicing and other accounting-related duties.
  • Ensure cleanliness and tidiness of all office areas including meeting rooms and facilitate room bookings.
  • Maintain inward and outward registers to track deliveries and shipments accurately.
  • Report maintenance or repair issues related to office equipment electrical systems and air handling units (AHU) promptly to relevant service providers.
  • Assist in organizing office events and functions to foster team engagement and morale.
  • Support Finance IT and HR departments in their daily operational tasks as needed.

Requirements

Experience - 5-6 years

Language: German fluent (native) & English
